JOB OVERVIEW

???? JOB DESCRIPTION

We are seeking a highly reliable Virtual Assistant to support daily e-commerce operations for a growing Shopify brand.

This role is execution-focused and best suited for someone who follows established workflows closely, communicates clearly, and proactively moves to the next task when one queue is complete.

If you require constant supervision or tend to wait for instructions when work is available, this role will not be a good fit.

???? CORE RESPONSIBILITIES

Update order tracking in Shopify

Send customer email updates using approved templates

Create, review, and optimize Klaviyo flows

Identify and report any flow errors or delivery issues

Maintain accurate daily shift reports

Flag items requiring owner review using the escalation template

Move between assigned task queues as priorities shift

?? WORK STYLE EXPECTATION (IMPORTANT)

This is an execution-focused role. Time should be spent on active task completion (updating, building, fixing, documenting).

Passive monitoring without required action is not considered primary work.

If one task queue is complete, you are expected to move to the next assigned task.

? REPORTING REQUIREMENT (NON-NEGOTIABLE)

Each shift must include an end-of-shift brief with:

Tasks completed

Time spent per task

Number of orders/emails handled

Any blockers

???? PAID 3-DAY TRIAL (REQUIRED)

Shortlisted candidates will complete a paid 3-day trial to confirm workflow alignment and execution quality.

During the trial, you will be evaluated on:

Accuracy

Speed of execution

Ability to follow instructions

Quality of end-of-shift reporting

Proactive task management

Only candidates who successfully complete the trial will be offered ongoing work.

???? TIME TRACKING REQUIREMENT

All paid work must be tracked using TimeProof while actively working.

Time that is not tracked in TimeProof may not be approved for payment.

Proven Shopify experience

Proven Klaviyo experience

Strong written English

High attention to detail

Ability to work independently during assigned shifts

Reliable internet and computer
