JOB OVERVIEW

We are a fast-growing US insurance agency and SaaS company seeking a highly organized, tech-savvy Executive Operations Manager to oversee recruiting, contracting, agent onboarding, CRM systems, and internal operations.

This is a leadership-level operations role.
You will manage pipelines, agents, recruiting systems, contracting processes, and backend workflow across multiple platforms.

If you cannot manage multiple systems at once — this is not for you.

Core Responsibilities

Recruiting & Interview Operations
• Create LinkedIn job posts
• Respond to candidates & send interview links
• Conduct unlicensed interviews
• Send ICA agreements
• Manage unlicensed pipeline & follow-up tracker
• Track licensing progress
• Move agents into the licensed pipeline once complete

Contracting & SuranceBay Management
• Combine & review agent packets
• Confirm licensing documents
• Process agent packets in SuranceBay
• Send carrier contracts
• Complete required onboarding forms
• Manage licensed agent tracking spreadsheet
• Handle all contracting-related email communication

Agent Tracking & Reporting
• Track agent writing numbers
• Update production spreadsheets
• End-of-day reporting to leadership
• Post updates in GroupMe & company chat
• Monitor performance pipelines

Lead & Support Management
• Manage lead order emails
• Fulfill lead orders
• Track purchase totals
• Respond to agent support requests

CRM & Systems (VERY IMPORTANT)
• Operate inside GoHighLevel (pipelines, workflows, contacts)
• Upload and process recruiting lists
• Scrub & purge lists
• Create templates & automation workflows
• Manage Secure Agent accounts
• Help managers with system setup

Event & Calendar Management
• Maintain event pages
• Update recurring posts
• Add/remove scheduled events

Required Skills
• Excellent English (spoken & written)
• Confident conducting Zoom interviews
• Strong experience with CRM systems (GoHighLevel preferred)
• Experience managing pipelines & workflows
• Extremely organized
• Able to manage multiple moving parts daily
• Comfortable making independent decisions
• Tech savvy & systems-oriented
