Role Summary:
This role is responsible for building, customizing, and maintaining our GoHighLevel (GHL) CRM to support sales, marketing, onboarding, and internal operations. The VA will translate business workflows into scalable CRM systems—pipelines, automations, funnels, forms, triggers, and integrations—ensuring the platform is clean, efficient, and easy for the team to use. This is a hands-on builder role, not just admin work. Success is measured by how well the CRM supports conversions, visibility, automation, and team adoption.
Primary Responsibilities:
The GoHighLevel CRM Builder & Automation VA will be responsible for:
CRM Architecture & Build-Out
Build and maintain GoHighLevel sub-accounts
Design and optimize pipelines, stages, and opportunity flows
Customize dashboards and reporting views for leadership and sales teams
Automation & Workflow Development
Build and manage workflows, triggers, and automations
Automate lead routing, follow-ups, appointment reminders, onboarding, and re-engagement
Ensure automations are clean, documented, and error-free
Funnels, Forms & Lead Capture
Create and customize funnels, landing pages, forms, and surveys
Connect forms to pipelines, tags, and workflows
Optimize lead capture logic to reduce friction and improve conversion
Tagging, Segmentation & Data Hygiene
Implement a clean tagging and naming convention
Maintain accurate contact records and prevent duplication
Regularly audit CRM data for integrity and consistency
Integrations & Tech Stack Support
Integrate GoHighLevel with third-party tools
Troubleshoot broken integrations and automation failures
Coordinate with leadership on new system requirements
Documentation & SOPs
Document workflows, automations, and system logic
Create simple SOPs so the team understands how to use the CRM correctly
Ensure changes are tracked and communicated
Ongoing Optimization
Identify bottlenecks, inefficiencies, or unused features
Recommend improvements based on usage and performance
Support scaling efforts as lead volume and team size grow
Required (Must-Have) Skills
Candidates must have:
Proven, hands-on experience building and customizing GoHighLevel (GHL) CRM
Experience creating and managing:
Pipelines & opportunity stages
Workflows, triggers, and automations
Forms, surveys, and funnels
Strong understanding of CRM logic (lead flow, lifecycle stages, automation timing)
Experience with
Experience integrating GoHighLevel with Shopify (directly or via tools such as Zapier/Make)
Syncing customers, orders, tags, and lifecycle stages
Triggering automations based on Shopify events (purchases, abandoned carts, fulfillment, etc.)
Ability to troubleshoot broken workflows, misfires, and integration issues
Strong attention to detail (automation errors are costly)
Ability to follow instructions and recommend better system designs when appropriate
Reliable internet connection and availability during agreed working hours
