We are seeking a highly organized and proactive Remote Operations & Services Coordinator to support daily operations, scheduling, lead intake, and team coordination. This role blends operations support with customer-facing communication, making you a key point of contact for clients, field staff, and new inquiries.
Role Overview
This position is ideal for someone who is confident handling phone conversations, managing multiple tasks simultaneously, and thinking independently within structured systems. You will help ensure smooth day-to-day operations, respond to incoming leads, assist with scheduling changes, and support weekend call coverage.
Key Responsibilities
Call Handling & Communication
Answer incoming calls professionally using the company phone system
Respond to new client inquiries and referral leads
Gather intake information and schedule consultations or assessments
Communicate with field staff regarding scheduling changes
Provide friendly and empathetic communication to clients and their families
Operations Coordination
Assist with staff scheduling updates and adjustments
Manage weekend call-outs and help identify replacement coverage
Update and maintain records within the company CRM
Document call notes and operational updates accurately
Triage incoming issues and categorize by urgency
Lead Intake & Sales Support
Respond to referral
Follow a structured intake process
Schedule consultations or assessments
Send follow-up
Maintain organized lead tracking
Team Support & Task Coordination
Track operational initiatives assigned by leadership
Follow up with tea
Prepare daily summaries of issues and updates
Required Skills & Qualifications
Excellent spoken and written English (near-native fluency)
Strong phone presence and professional communication skills
Ability to multitask and prioritize effectively
Experience in customer service, scheduling, dispatching, or operations coordination preferred
Comfortable learning new systems (CRM, scheduling software)
Reliable high-speed internet connection (wired ethernet preferred)
