JOB DESCRIPTION:
We are seeking a highly organised and technically skilled Virtual PMO Project Engineer / Project Administrator / Mobilisation Coordinator with a strong civil and structural engineering background and working knowledge of mechanical systems. The ideal candidate will have hands-on experience supporting projects across the construction, mining, and energy sectors.
Key Responsibilities:
PMO & Project Engineering:
? Support the Project Management Office (PMO) in maintaining project controls, reporting, and governance frameworks
? Develop and maintain project schedules, Gantt charts, and critical path analysis using tools such as MS Project, Primavera P6, or similar
? Track project milestones, deliverables, budgets, and KPIs, escalating risks and issues as required
? Prepare and review engineering documentation including scope of works, technical specifications, method statements, and ITPs (Inspection & Test Plans)
? Assist with cost estimation, quantity take-offs, and bill of materials preparation for civil, structural, and mechanical works
? Support procurement activities including vendor assessments, RFQs, purchase orders, and expediting
? Coordinate with multidisciplinary engineering teams including civil, structural, mechanical, and electrical disciplines
? Prepare project status reports, dashboards, and executive summaries for senior stakeholders
Project Administration:
? Maintain and organise project document control systems, registers, and filing structures
? Manage project correspondence, meeting minutes, action trackers, and RFI/variation registers
? Administer project management platforms such as Aconex, Procore, SharePoint, or similar
? Support tender preparation, contract administration, and compliance documentation
? Track and manage project certifications, approvals, permits, and statutory requirements
? Coordinate with finance teams on progress claims, invoicing, and cost tracking
Mobilisation Coordination:
? Plan and coordinate site mobilisation and demobilisation activities for personnel, plant, and equipment
? Prepare mobilisation schedules, checklists, and logistics plans
? Coordinate workforce onboarding including site inductions, competency verification, medicals, and compliance documentation
? Liaise with HR, training, and HSE departments to ensure all mobilisation requirements are met prior to site deployment
? Manage travel, accommodation, and logistics arrangements for remote and FIFO site-based teams
? Maintain mobilisation trackers and workforce registers, ensuring real-time accuracy
? Support camp management and site establishment planning as required
? Coordinate with subcontractors and third-party providers on mobilisation deliverables and timelines
Required Qualifications & Experience:
? Bachelor’s degree in Civil Engineering, Structural Engineering, Construction Management, or a related field
? Minimum 5 years’ experience in project engineering, project administration, or mobilisation coordination roles
? Strong civil and structural engineering knowledge with a practical understanding of mechanical systems and equipment
? Demonstrated experience across at least two of the following sectors: construction, mining, oil & gas, energy, or heavy industrial
? Proficiency in MS Project, Primavera P6, or equivalent scheduling software
? Advanced skills in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)
? Experience with document control and project management platforms (Aconex, Procore, SharePoint, or similar)
? Familiarity with engineering standards and codes (Australian Standards, AISC, Eurocodes, or equivalent)
? Strong understanding of HSE requirements, site mobilisation protocols, and compliance frameworks
? Excellent written and verbal English communication skills
? Highly organised with exceptional attention to detail and ability to manage multiple projects simultaneously
? Self-motivated and capable of working independently in a remote/virtual environment
Preferred:
? Experience working on Australian, Middle Eastern, or Southeast Asian projects
? Familiarity with EPCM or EPC project delivery models
? Knowledge of CMMS systems (SAP, Pronto, MEX) for asset and maintenance integration
? Experience with Power BI, Tableau, or similar reporting and data visualisation tools
? Understanding of AS/NZS standards, RPEQ, or equivalent professional registration frameworks
? Experience with brownfield and greenfield project environments
? Working knowledge of AutoCAD, Revit, or Tekla for reviewing civil/structural drawings
? Familiarity with contract types (AS4000, AS4902, NEC, FIDIC)
This is a fully remote position. Candidates must have a reliable high-speed internet connection, a professional home office setup, and be available for meetings across Australian or international time zones as required.
