About the Role:
We are a growing portfolio of online media brands serving engaged audiences across meaningful niches including mental health, personal development, and wellness. Our digital newsletters reach hundreds of thousands of readers daily, delivering valuable content that helps people live better lives.
We're looking for an organized, detail-oriented Project Manager to oversee the production of our digital
products. This is a part-time to full-time position (with potential to grow) perfect for someone who thrives on
keeping projects moving, enjoys working with creative freelancers, and has an eagle eye for quality.
You'll be the central point of contact between our team and our network of freelance designers—ensuring
projects flow smoothly from brief to final delivery.
What You’ll Be Doing:
1. Project Pipeline Management
• Manage and maintain our Trello-based project workflow across 7 stages (Backlog ? Paid & Complete)
• Release new projects from the backlog and announce availability to the freelancer pool
• Assign projects to appropriate designers based on skills, availability, and workload
• Monitor project timelines and ensure deadlines are met
2. Quality Control & Feedback
• Review all submitted design files (PDFs, Canva files, source files) for quality and accuracy
• Provide clear, constructive feedback and revision notes when needed
• Approve final deliverables that meet our standards
• Ensure all checklist items are completed before sign-off
3. Freelancer Coordination
• Communicate with freelancers via Trello comments and WhatsApp group announcements
• Answer questions, clarify briefs, and provide guidance as needed
• Follow up on overdue projects and manage deadline extensions
• Onboard new freelancers to our workflow and systems
4. Administrative Duties
• Track project statuses and maintain organized records
• Coordinate payment processing (weekly/bi-weekly schedules)
• Flag issues, bottlenecks, or underperforming freelancers to leadership
• Continuously improve workflows and documentation
Requirements:
• 2+ years of experience in project management, production coordination, or traffic management
• Exceptional organizational skills and attention to detail
• Strong written communication skills (clear, professional, and friendly)
• Experience working with freelancers or remote creative teams
• Familiarity with Trello (or similar project management tools)
• Ability to review design files and provide actionable feedback
• Self-motivated and comfortable working independently
• Reliable internet connection and availability during core business hours
Ideal Candidate:
• Background in graphic design, print production, or digital products
• Experience with Canva, Adobe Creative Suite, or similar design tools
• Familiarity with print-ready file specifications
• Previous experience managing high-volume, fast-turnaround projects
Work Details:
Hours: Part-time (15–25 hrs/week) with potential to grow to full-time
Location: Remote
Schedule: Flexible, but must be available for daily check-ins and 48-hour review turnarounds
