Part-Time ClickUp Systems Administrator (Operations & Process Manager)

We are a growing construction and tiling company based in Melbourne, focused on commercial and high-end projects. We are building structured systems to scale efficiently and are looking for a ClickUp expert to design, implement, and maintain our operational workflows.

???? Role Overview

We are seeking a detail-oriented ClickUp specialist to:

Design and optimize our ClickUp workspace

Translate business processes into structured workflows

Build automations, dashboards, and reporting systems

Maintain system integrity as the company grows

Improve operational efficiency across estimating, projects, and accounts

This is a part-time remote role with potential to expand.

???? Key Responsibilities
1?? ClickUp System Design

Build and structure Spaces, Folders, Lists

Create task templates for:

Estimating

Live Projects

Variations

Purchase Orders

Site Inspections

Implement clean status workflows

Develop SOP-linked task structures

2?? Automation & Optimization

Create automations to reduce admin work

Build recurring task workflows

Implement reminders and follow-up systems

Integrate with:

Gmail

Xero (or accounting software)

Time tracking apps

Drive

3?? Reporting & KPI Dashboards

Build dashboards for:

Estimator performance

Project profitability

Job progress

Overdue tasks

Variations tracking

Maintain data accuracy

4?? System Governance

Audit workspace monthly

Prevent clutter & duplicate workflows

Improve process efficiency

Train tea ---------- mbers on correct usage

5?? Documentation & Training

Create simple SOP guides for team usage

Record Loom-style training videos if needed

Onboard new staff into ClickUp system

???? KPIs for This Role

Reduction in manual admin tasks

% of tasks completed on time

Reduction in missed follow-ups

Accuracy of reporting dashboards

System clarity (no duplicated workflows)

???? Required Skills

Proven ClickUp expertise (portfolio required)

Strong workflow design capability

Experience in operations or project management

Ability to think in systems (not just tasks)

Strong attention to detail

Understanding of construction or trade workflows (preferred)
