Operations Manager Automation Agency |
Hours: Mon–Fri, EST business hours overlap required

We're a growing automation agency that builds custom n8n workflows, API integrations, and AI-powered systems for e-commerce and logistics companies.

Who You Are
You're the person who walks into chaos and creates order — without being told how. You've managed operations at an agency or tech company before, you understand automation and APIs at a working level, and you don't need hand-holding to figure out what needs to happen next. You see a gap, you fill it. You see a fire, you put it out. You're the adult in the room.
This isn't a VA role. This is a right-hand operator position. You'll own the day-to-day operations so the founder can focus on selling and building.

What You'll Own

Client management — Be the main point of contact for active clients. Handle updates, requests, timelines, and expectations so the founder isn't in every Slack thread and email chain.
Project management — Track all active builds across clients. Know what's on track, what's behind, and what's blocked — before anyone has to ask.
Scoping and QA — Review client requests, scope out what needs to be built, and QA completed n8n workflows and integrations before delivery. You don't need to be the best builder, but you need to understand what you're looking at.
Team management — Manage VAs and contractors. Assign tasks, review output, hold people accountable. Eventually, hire new tea ---------- mbers as we grow.
Building systems — Create the SOPs, processes, and documentation that don't exist yet. Build the operating system for the agency from the ground up.
Light building — Handle simpler n8n workflows and automation builds independently, freeing the founder for complex architecture work.


Requirements

3+ years in operations, project management, or agency management
Working knowledge of automation tools — n8n, Make, or Zapier (you don't need to be an expert builder, but you need to understand workflows, APIs, and webhooks)
Experience managing remote teams (VAs, contractors, or developers)
Comfortable communicating directly with US-based clients via Slack, email, and occasional video calls
Highly organized with a track record of building processes where none existed
Self-directed — you figure out what needs to happen and do it without waiting for instructions
Strong written and spoken English
