Job Summary: We are seeking a detail-oriented and efficient Administrative
Assistant with Prior Sales Experience to support our sales team. This role is pivotal in managing the administrative
tasks related to global client growth. This role is responsible for managing the response process to Requests for SALES Proposals (RFPs) from potential or existing clients. This role involves analyzing RFP documents, coordinating with cross-functional teams, developing comprehensive proposals, and ensuring timely submission. The Sales Administrative Assistant plays a crucial role in securing new business opportunities and maintaining client satisfaction. Sales admin background or experience is preferred. PRIOR SALES EXPERIENCE IS A MUST for this role.
Key Responsibilities:
• Support our regional growth field executives and account executives with
applications.
• Coordinate and schedule meetings across various time zones, particularly for our
sales leaders in the Americas, EMEA, and APAC regions.
• Maintain confidentiality and exercise discretion when handling sensitive
information.
• Provide robust administrative support including document preparation,
systematic shared filing within MS Teams/Sharepoint, and managing
correspondence.
• Assist in crafting reports for a diverse range of audiences, both internal and
external.
• Work collaboratively with different departments to facilitate seamless operations
and communication.
• Analyze and interpret RFP documents to identify key requirements, deadlines, and evaluation criteria.
• Coordinate with cross-functional teams (e.g. sales, marketing, finance, product development) to gather necessary information and responses for each RFP.
• Develop and maintain a comprehensive library of standard responses, templates, and supporting documents to streamline the RFP response process.
• Customize responses to RFPs ensuring they are tailored to meet the specific needs and preferences of each potential client while highlighting the company's strengths and differentiators.
• Manage the RFP response timeline, ensuring all internal reviews, revisions, and approvals are completed before the submission deadline.
• Ensure compliance with all proposal requirements, including formatting, content, and delivery specifications, to maximize the chances of success.
• Conduct post-submission follow-up with potential clients to address any questions, provide additional information, and reinforce the company's interest in the opportunity.
• Perform analysis of RFP outcomes, gathering feedback from clients on both successful and unsuccessful bids to inform continuous improvement in the RFP process.
Qualifications:
• Demonstrable experience in an administrative assistant capacity or a related
field.
• Exceptional time management and prioritization capabilities.
• Strong organizational acumen with an aptitude for multitasking.
• Proficiency in MS Office Suite, with a focus on MS Excel and MS PowerPoint.
• Excellent communication skills, both written and verbal.
• A keen eye for detail and a proactive approach to problem-solving.
• A high school diploma is required, further qualifications in administration or
secretarial work will be advantageous.
