Junior Virtual Assistant (Supply Chain Department)

Working Hours:

9:00 AM to 7:00 PM HKT (Monday to Friday, including 1-hour lunch break)

9:00 AM to 1:00 PM HKT (Saturday)

JOB SUMMARY

We are looking for a Junior Virtual Assistant to support our Supply Chain team remotely. You will assist with operational and administrative tasks, ensuring smooth coordination with suppliers and internal teams. This role is ideal for someone organized, detail-oriented, and comfortable working with data and digital tools.

You should be able to respond quickly to requests, communicate clearly, and work efficiently with databases and spreadsheets. Prior experience with CIN7 or DEAR Inventory is a plus, but not required.

RESPONSIBILITIES

• Assist with supply chain administrative tasks, including data entry, inventory updates, and order tracking
• Communicate promptly and clearly with suppliers and internal teams
• Work with databases and digital tools such as Google Sheets, CIN7, or DEAR Inventory
• Organize and maintain digital files, documents, and records
• Support workflow management and monitor progress on supply chain tasks
• Prepare reports, presentations, and other documents as needed
• Perform research on suppliers, market trends, and supply chain best practices
• Attend meetings, take minutes, and share key updates with the team
• Create and maintain standard operating procedures (SOPs)
• Perform other ad hoc tasks as required

QUALIFICATIONS & SKILLS

• Prior experience as a Virtual Assistant or in supply chain operations is a plus, but fresh graduates are welcome
• Organized, detail-oriented, and comfortable working with data
• Quick to respond to requests from suppliers and internal teams
• Clear and professional English communication skills, both written and verbal
• Comfortable using databases, spreadsheets, and project management tools
• Strong time management skills and ability to multitask
• Comfortable working in a fast-paced environment
• Willing to take initiative and learn continuously
