WHO WE'RE LOOKING FOR
This is not a typical VA role. We’re looking for someone smart, spiritual, resourceful, and genuinely cool — someone who takes initiative, has excellent taste, writes well, is knowledgeable about Catholicism, and can handle everything from tracking rental expenses to finding the most interesting new restaurants and hotels.
You'll be supporting a busy Bay Area former CEO, magazine publisher, and entrepreneur who is a Catholic lay minister and leader, spiritual director, landlord, and all-around high-functioning, kind human who simply needs a brilliant right hand.
If you love variety, are deeply organized, have great aesthetic sensibility, and happen to be Catholic — read on.
ABOUT THE ROLE: Work directly with one person across several areas of her life:
Finance & Tax Preparation
• Monthly expense tracking and reconciliation across two properties and business activities
• Categorize expenses accurately (understanding the difference between deductible repairs vs.
capital improvements, depreciation, etc.)
• Maintain organized records for annual tax preparation
• Update and maintain expense spreadsheets monthly — no surprises at tax time
Property Management Support
• Set up and manage Instagram account for a stylish, fashion-forward and well-known Palm Springs vacation rental
• Write engaging, personality-forward captions and content for the Palm Springs property
• Idea generation for marketing and press campaigns to drive fashion reputation and occupancy
Research & Personal Assistance
• Research and book chic, interesting hotels and travel experiences (you know the difference between a generic hotel and a place with a great story and design)
• Track new and notable restaurants, events, and experiences in the San Francisco Bay Area
• Source and find thoughtful, creative gifts for various occasions
Administrative Support
• Research Catholic topics and develop prayers for weekly lectures
• Design handouts, brochures and other collateral
• Calendar management and scheduling
• General administrative tasks as assigned
YOU ARE
• An exceptional writer — clear, warm, engaging. Grammar matters to you.
• Financially literate — understand basic accounting, expense categories and LOVE spreadsheets
• Culturally curious — you follow design, food, travel, and lifestyle trends genuinely
• Knowledgeable about Catholicism— this is a genuine role requirement, as some work supports
Catholic parish and national ministry
• Proactive — you don't wait to be told. You anticipate before she asks. You notice things, flag
issues, and bring solutions
• Tech-savvy — Google Suite, Canva, PowerPoint, Instagram, and basic project management and
design tools are second nature
• Detail-oriented — reconciling numbers and checking accuracy don't feel tedious to you; they
feel satisfying
• Discreet — you access personal and financial info and treat it with the utmost confidentiality
QUALIFICATIONS
• Bachelor's degree in Finance, Accounting, or Business required. Theology studies a major plus!
• 3+ years experience in finance, bookkeeping, or accounting role.
• Real estate or property management experience strongly preferred (rental property accounting,
capital improvements vs. repairs, depreciation)
• Understand the Catholic faith
• Passion for fashion and design
• Demonstrated experience managing Instagram accounts (please include handle or portfolio)
• Excellent written and spoken English
• Available for occasional real-time calls (Pacific Time) for check-ins
• Filipino nationals strongly encouraged to apply
WHY THIS ROLE IS GREAT
• Interesting, varied work — no two weeks are the same
• Flexible, async-friendly hours
• Work with someone who is kind, creative, organized, and respects your time
• Room to grow as the role expands
