We are seeking a dedicated and highly responsive Virtual Assistant to manage guest communications for our growing portfolio of vacation rental properties. Currently, we manage 30 properties, with plans to continue expanding. The busiest periods are weekends and the summer season, so availability during these times is essential. Our team already consists of 2 talented VAs and we are looking to augment our team and working hours.
Key Responsibilities:
Handle all guest communications, including inquiries, booking confirmations, and follow-ups.
Respond to guest inquiries within 5 minutes and address emergencies within 2 minutes.
Manage rental agreement forms and ensure guests complete necessary documentation. There are HOA agreements that need to be submitted timely to HOAs
Picture Management - add/delete and change picture order for each home, approx. 4-6 times a year
Coordinate with cleaning and maintenance teams as needed.
Maintain organized records of guest interactions and bookings.
Ideal Candidate:
Highly organized and detail-oriented.
Exceptional written and verbal communication skills.
Quick and proactive problem-solver.
Respectful and professional in all guest interactions.
Experience in property management or hospitality is a plus.
Hours & Availability:
Flexible, with coverage during peak times (weekends and summer months).
Must be available to work U.S. East Coast hours, with significant communication happening in the evenings.
Ability to handle after-hours emergencies.
