Job Summary
We are seeking a highly organized and professional Virtual Assistant to join our team. The ideal candidate will serve as a key point of contact for our clients, staff, and external partners, providing exceptional support while managing day-to-day administrative operations remotely. This role requires a friendly demeanor, strong communication skills, and the ability to handle multiple tasks efficiently in a fast-paced, virtual environment.
Duties & Responsibilities
• Serve as the first point of contact for clients, patients, and visitors via phone,
• Manage multi-line phone systems remotely, directing calls to appropriate personnel, taking messages, and following up on inquiries as necessary.
• Perform data entry, electronic filing, and clerical tasks to support daily office operations.
• Maintain organized digital records and filing systems, ensuring all documents and materials are readily accessible for staff and clients.
• Assist with calendar management, scheduling appointments, and coordinating virtual and in-person meetings.
• Handle customer and client inquiries promptly, providing support with a focus on excellent service and timely resolution.
• Utilize Microsoft Office Suite and Google Workspace for various administrative tasks including typing documents, proofreading materials, preparing reports, and managing correspondence.
• Support bookkeeping efforts by maintaining accurate records of transactions and assisting with invoicing as needed.
• Assist with general office management tasks to ensure smooth daily operations across departments.

• Provide bilingual support when necessary to enhance communication with diverse clientele.
• Assist with special projects and ad hoc tasks as assigned by leadership.
Requirements & Qualifications
• Proven experience in a virtual assistant, front desk, receptionist, or administrative support role is preferred.
• Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace (Docs, Sheets, Calendar, Meet).
• Familiarity with QuickBooks or similar accounting software is a plus.
• Excellent organizational skills and keen attention to detail.
• Strong typing abilities with professional phone etiquette and outstanding customer service skills.
• Ability to manage time effectively while handling multiple priorities in a remote work environment.
• Previous experience in a healthcare, dental, or medical office setting is advantageous but not required.

• Experience in office management, executive assistance, or as a personal assistant is beneficial.
• Reliable internet connection and a dedicated, distraction-free workspace for remote work.

Preferred Skills
• Experience with electronic health records (EHR) systems such as eClinicalWorks.
• Familiarity with virtual phone systems (e.g., RingCentral) and communication platforms (e.g., Zoom, Microsoft Teams).
• Knowledge of HIPAA compliance and handling of sensitive patient or client information.
