We are seeking an experienced QuickBooks Online trainer to provide practical, step-by-step training to administrative staff.
We need a patient and knowledgeable trainer who can teach staff how to properly manage everyday bookkeeping tasks in QuickBooks Online. This is a training and coaching position—not a request for someone to take over our bookkeeping.
Training Topics
The trainer should be able to teach staff how to:
Navigate QuickBooks Online.
Understand the chart of accounts.
Properly categorize income and expenses.
Enter and manage vendors.
Enter bills and record bill payments.
Create and manage customer invoices.
Record customer and insurance payments.
Match downloaded bank transactions.
Reconcile bank and credit card statements monthly.
Identify and correct reconciliation discrepancies.
Review uncleared and duplicate transactions.
Handle missing, incorrect, or miscategorized transactions.
Generate and understand basic financial reports.
Review accounts receivable and unpaid invoices.
Review accounts payable and outstanding bills.
Run profit-and-loss and balance-sheet reports.
Complete essential month-end bookkeeping tasks.
Organize supporting documents and maintain an audit trail.
Understand the difference between deleting, voiding, and correcting transactions.
Avoid common QuickBooks Online errors.
Trainer Responsibilities
Evaluate the staff’s current level of QuickBooks knowledge.
Develop a beginner-friendly training plan.
Provide live, hands-on training using our QuickBooks Online account.
Explain each task in clear, simple language.
Allow staff to practice while the trainer provides guidance.
Help staff understand existing reconciliation discrepancies.
Create or recommend step-by-step procedures and checklists.
Answer staff questions during training.
Provide a summary of the subjects covered and areas needing additional training.
Protect the confidentiality of all company, employee, client, banking, and financial information.
Required Qualifications
Strong working knowledge of QuickBooks Online.
Demonstrated experience training beginners.
Experience with bank and credit card reconciliations.
Ability to explain bookkeeping concepts in simple terms.
Strong communication, patience, and organizational skills.
Experience reviewing and correcting QuickBooks Online errors.
Ability to provide references or proof of prior QuickBooks training experience.
Preferred Qualifications
QuickBooks ProAdvisor certification.
Experience working with a home care, healthcare, Medicaid, or service-based company.
Knowledge of accounts receivable, payroll journal entries, and month-end closing procedures.
Experience training business owners and administrative employees who have limited bookkeeping experience.
Training Format
Live virtual training through Zoom or a similar platform.
Screen sharing and hands-on instruction are required.
Training may be divided into multiple sessions.
Additional follow-up sessions may be available based on staff needs and trainer performance.
