Position Title: Executive Virtual Assistant – Real Estate Operations & Onboarding

We are led by Daniel Eng, commercial real estate investor and team leader, currently building a 300+ agent organization scaling toward 1,000+ partners.
We are looking for a high-level Executive Assistant who thrives in structured environments, loves people, and can lead systems, onboarding, CRM, and operations.
???? This Is NOT a Basic VA Role
This role will:
• Manage and oversee two existing VAs
• Own onboarding systems for new agents
• Oversee CRM and database integrity
• Help build and implement SOPs
• Coordinate events and agent follow-ups
• Support recruiting and retention campaigns
• Manage executive calendar + meeting flow
• Execute newsletters and 33 Touch campaigns
• Track weekly P&L reporting
• Oversee contracts + onboarding documents
• Act as liaison between vendors + leadership
You will become the operational backbone of a rapidly scaling organization.

• Detail-oriented (nothing slips through the cracks)
• High S / C personality (DISC profile preferred)
• Organized and structured thinker
• Friendly and relationship-driven
• Comfortable leading and managing others
• Strong written English
• Experience with CRM systems (Follow Up Boss, GoHighLevel, or similar)
• Experience with onboarding systems and SOP development
• Comfortable tracking metrics and reporting

Onboarding & Agent Experience
• Oversee new agent onboarding process
• Schedule first 100-day training calendar
• Manage onboarding documents + contracts
• Follow up with all event attendees
• Recruiting follow-ups
• Retention follow-ups
• Send cards, gifts, and newsletters
CRM & Systems
• Manage CRM database accuracy
• Implement 33 Touch system
• Oversee lead tracking
• Create follow-up campaigns
• Develop SOPs
Executive Support
• Calendar management
• Meeting scheduling
• Weekly reporting
• Vendor coordination
• Community event coordination
• Website oversight (Ylopo)
Team Oversight
• Manage two VAs
• Assign task workflow
• Ensure deadlines are met
