We are a growing, multi-state tax controversy and compliance law firm seeking a People Operations Specialist to support and strengthen our internal HR systems. This role is ideal for a mid-level HR professional who understands California wage and hour fundamentals, enjoys building structure, and wants a clear pathway to grow into a People Operations Manager role. This is a hands-on operational role with real ownership.
Key Responsibilities
• HR Operations & Compliance
1. Support multi-state HR compliance with a focus on California wage and hour laws.
2. Track overtime, meal/rest periods, PTO, and leave compliance.
3. Maintain accurate employee files and documentation.
4. Support benefits enrollment coordination and payroll tracking.
5. Assist with updating policies and employee handbooks.
• Recruiting & Hiring
6. Post job ads and maintain applicant tracking.
7. Screen resumes and conduct structured first-round interviews.
8. Provide candidate summaries and recommendations.
9. Coordinate interviews with leadership.
• Onboarding & Training
10. Manage onboarding checklists and timelines.
11. Prepare new hire welcome materials.
12. Ensure documentation, access, and policies are delivered on time.
13. Assist in drafting SOPs and workflow documentation.
14. Maintain training guides and materials.
• Employee Relations Support
15. Serve as first point of contact for routine employee questions.
16. Support documentation for performance reviews and improvement plans.
17. Escalate higher-level concerns appropriately.
• Systems & Process Improvement
18. Maintain HRIS accuracy.
19. Track key HR metrics such as vacancy time and retention.
20. Identify process gaps and suggest improvements.
Required Qualifications
• 3–6 years of progressive HR or People Operations experience.
• Demonstrated knowledge of California wage and hour basics (overtime, meal/rest periods, leave requirements).
• Experience supporting multi-state U.S. teams preferred.
• Strong written communication skills.
• Highly organized and process-driven.
• Comfortable working independently in a fully remote environment.
• Tech-savvy and able to learn systems quickly.
Preferred Qualifications
• Experience in professional services (law firm, finance, consulting).
• Experience supporting offshore or distributed teams.
• HR certification (PHR, SHRM-CP) is a plus but not required.
