Lead Operations & Dispatch Coordinator (Remote – Philippines, Full Time)
We’re **Site Masters**, a fast growing junk removal and light demolition company serving Tampa Bay, Florida.
We’re looking for a **Lead Operations & Dispatch Coordinator** who can own the day to day heartbeat of the business: phones, routing, tech schedules, basic numbers, and keeping everything moving without drama.

### What You’ll Be Responsible For
**1. Phones, Clients & Scheduling (40%)**
- Answer inbound calls (residential + commercial) with a friendly, confident tone.
- Make outbound calls for estimate follow ups, missed calls, and invoice reminders.
- Book jobs in our software, confirm details, and keep clients updated with ETAs.
- Reschedule jobs and handle routing conflicts when trucks run behind or customers change plans.
**2. Dispatch, Routing & Tech Support (25%)**
- Build daily routes for 2–3 trucks so days are efficient and profitable.
- Track where techs are, support them with info they need, and adjust routes on the fly.
- Monitor tech time: clock ins, clock outs, and job duration for each crew.
- Make sure Jobber is accurate and everything is closed out at the end of the day.
**3. Numbers, Tracking & Payroll Support (20%)**
- Maintain simple spreadsheets for:
- **COGS / job level P&L** (disposal, labor hours, fuel, etc.).
- **Google Local Services (LSA) tracking**: leads, booked jobs, revenue per lead.
- Prepare weekly payroll support: hours per tech, commission sheets, and adjustments.
- Do light bookkeeping support in QuickBooks Online (training provided).
**4. Admin, SOPs & Executive Assistance (15%)**
- Update and refine SOPs as we improve systems.
- Help with recurring admin tasks, online orders, and occasional personal assistant tasks.
- Organize photos, Google Drive folders, and basic reports for leadership.
You will work directly with the owner and existing VA to keep operations tight and improve the system over time.
### Requirements
- **Location:** Philippines (home based, quiet workspace).
- **Experience:**
- 2+ years as a VA, dispatcher, scheduler, or operations coordinator for a **US based service company** (construction, cleaners, junk removal, home services, etc.).
- Strong **phone experience with US clients** (inbound + outbound).
- **Skills:**
- Excellent spoken and written English.
- Confident on live calls; can handle upset customers without losing composure.
- Comfortable with CRMs / job management tools (Jobber a plus), Google Workspace, spreadsheets.
- Good with numbers and details (time tracking, simple P&L, invoices).
- Fast learner with solid computer skills (50+ WPM preferred).
- **Technical Setup:**
- Reliable computer (i5/Ryzen 5 or better, 8GB+ RAM).
- Stable wired internet (at least 25 Mbps) + backup internet.
- Quality USB headset and quiet workspace.
- Willing to use **Hubstaff** for time tracking and screenshots.
### Schedule & Compensation
- **Hours:** 8:00 AM – 6:00 PM EST, Monday–Friday (with 30–60 min lunch).
- **Sometimes:** 1–2 Saturday half days per month for peak periods (additional hourly pay)
- **Salary Range: **$1,300 – $1,500 USD/month, depending on experience and performance.
- **Extras:**
- 1 paid day off per month after probation.
- Paid PH regular holidays after probation.
- Performance bonuses based on reliability, accuracy, and call handling.
- Long term, stable role with growth into senior operations if you perform.
