JOB OVERVIEW:
We are seeking a highly proactive Business Operations Manager to bring structure, ownership, and execution into our fast-growing international company operating across e-commerce, beauty, and digital businesses.
This is not a traditional Virtual Assistant role.
We are looking for someone who can act as a true operational partner to the founders, translating ideas into structured workflows, building scalable systems, and ensuring that projects move forward efficiently across the organization.
The Business Operations Manager will play a critical role in optimizing our operational infrastructure, connecting tools and processes, and creating clarity in a fast-moving environment.
KEY RESPONSIBILITIES:
- Build, optimize, and manage operational systems (Notion, Slack, Google Drive, integrations, workflows).
- Translate discussions, ideas, and strategic decisions into clear tasks, projects, and timelines.
- Assign ownership across the team and drive accountability to ensure deadlines are met.
- Identify operational inefficiencies and proactively implement improved processes.
- Lead project coordination and maintain visibility across all active initiatives.
- Create structured workflows that allow the company to scale without operational bottlenecks.
- Ensure documentation is organized, accessible, and continuously improved.
- Support founders by reducing operational load and protecting their focus.
- Establish reporting structures that provide clear insights into project progress.
- Bring clarity and organization to a dynamic, high-growth environment.
QUALIFICATIONS:
- Proven experience in Business Operations, Project Management, or a similar high-responsibility role.
- Strong systems thinker with the ability to structure complex workflows.
- Advanced experience with tools such as Notion, Slack, and Google Workspace.
- Demonstrated success in building or improving operational processes.
- Excellent English communication skills (written and verbal).
- Highly proactive with strong ownership mentality, you do not wait for instructions.
- Comfortable working directly with founders in a fast-paced environment.
- Exceptional organizational and execution skills.
- Strong problem-solving ability with a focus on efficiency and scalability.
WORKING HOURS & COMPENSATION:
- Competitive salary of $1,100 USD/month.
- Full-time position (40 hours/week).
- Some overlap with European business hours is preferred.
- Long-term opportunity with potential for role growth as the company scales.
