About the Role
We are a private business funding company based in North America. We work with external partners who submit funding applications daily.
We are hiring one Operations Admin to handle the operational side of our funding process so management can focus on underwriting decisions and capital deployment.
This is not a sales role.
This is not a decision-making role.
This is a structured, process-driven operations role.
Your Responsibilities
Inbox & File Management
Monitor incoming deal submissions
Organize files and documentation
Acknowledge receipt of submissions
Follow up for missing documents only (no judgment, no opinions)
Deal Processing
Prepare funding agreements once deals are approved
Ensure documents are signed correctly
Confirm payment details are complete
Maintain clean and organized deal records
Partner Invoicing & Payments
Request invoices from partners after deals are funded
Organize invoices for accounting
Record invoices in an accounts payable tracker
Send a weekly summary of invoices ready for payment
Partner Communication
Handle routine partner communication:
Status updates
Confirmation of receipt
Payment timing
Escalate to management only when something is unclear or outside written procedures
Data & Tracking
Keep internal trackers updated
Maintain organized folders and records
Ensure no files or payments fall through the cracks

Strong written English

Prior admin or operations experience preferred
Finance or accounting exposure is a plus (not required)
