We are hiring a senior-level Real Estate Executive Assistant with proven residential real estate experience and hands-on experience supporting luxury clients. This is not a training role. You must be able to operate as an independent contributor from day one, rebuild and tighten operations, and support business growth with minimal oversight.This partnership is direct, business-focused, and high-expectation. You should be comfortable with candid feedback, move fast, and communicate with executive-level clarity.
• Core Requirements (Non-Negotiable)
1) Direct Residential Real Estate Experience:
- Hands-on experience working in residential real estate is required
- Strong command of workflows, terminology, transactions, and CRMs
- Candidates without direct residential real estate experience will not be considered
2) Luxury Client Experience (Big Must)
- Proven experience supporting luxury or high-net-worth clientele
- Strong client-facing polish, discretion, and white-glove service mindset
- Comfortable managing sensitive details, high standards, and fast turnarounds
- You understand that brand perception is operational, every touchpoint matters
3) Senior Executive Assistant Capability
- Prior experience supporting senior leaders, founders, or top-producing agents
- Able to prioritize, protect the calendar, and run ops with professionalism and speed
4) Highly Proactive and Independent
- You operate like a strategic operator, not a task-taker. You can:
- Rebuild broken or outdated systems and workflows
- Anticipate needs without step-by-step instructions
- Take initiative on items like:
- Expired listings outreach support
- Marketing opportunities and follow-up workflows
- Process improvements that increase efficiency and conversion
5) Professional, Direct Working Style
- You can handle straightforward feedback without getting defensive
- You communicate clearly, confidently, and respectfully
- You bring solutions, challenge assumptions when needed, and stay outcomes-focused
• Key Responsibilities
1. Operations and Systems
- Audit current operations, then rebuild and streamline workflows
- Document processes and keep systems organized, scalable, and easy to run
- Identify inefficiencies and implement improvements without being asked.
2. CRM Management (Follow Up Boss or similar)
- Maintain clean data, tags, tasks, and pipeline stages
- Ensure follow-up is accurate, timely, and actionable
- Build and enforce CRM standards so nothing leaks through the cracks
3. Marketing Coordination
- Coordinate with an existing marketing specialist
- Support campaign execution, outreach workflows, and listing marketing timelines
- Track deliverables, deadlines, and follow-through across moving parts
4. Administrative and Daily Operations
- Manage calendar, scheduling, reminders, and operational logistics
- Keep daily execution crisp, consistent, and low-friction
- Own details and quality control across admin workflows
5. Growth Support
- Support growth-oriented initiatives and business development efforts
- Take ownership of assigned projects from start to finish
