We’re looking for a confident and friendly Phone Support / Diary Coordinator to help manage incoming leads and bookings for a photography studio.
This role is phone-heavy and customer-facing. You’ll be calling warm leads who have already expressed interest, explaining their invitation, answering questions, and booking them into the system.
Clear communication, a calm phone manner, and attention to detail are essential.

How Leads Come In (Background)
Leads are generated through multiple channels, including:
1.
• Weekly lead generation campaigns (Thursday–Wednesday)
• Offer includes a free photoshoot and one complimentary high-resolution digital image
• Approx. 40–60 leads per week
• Clients enter via social media forms
2. “Share the Love” Campaigns
• Monthly, invitation-based campaign
• Approx. 50–300 people may vote or nominate someone
• Only clients who accept their invitation (“YES clients”) require follow-up
• Clients receive an SMS and HTML
• Once activated, all YES clients require a phone call

Key Responsibilities
Invitation Calls
• Call clients who have expressed interest via competitions, campaigns, or promotions
• Clearly explain what they’ve received and how the invitation works
• Answer questions and build excitement
Booking Calls
• Help clients select suitable dates and times
• Book sessions accurately in the system
• Explain the photoshoot process and what to expect
Fire-Up Calls
• Call clients who are already booked but haven’t yet spoken with a photographer
• Help them prepare for their shoot (what to wear, what to bring)

Systems & Tools
• CRM system (training provided)
• Call hub with assigned phone number
• Booking and diary management tools

What We’re Looking For
• Confident phone manner with a natural, clear, non-scammer-sounding accent
• English that sounds neutral to Australian (very important)
• Comfortable speaking with customers and handling objections calmly
• Strong attention to detail for notes, bookings, and CRM updates
• Willingness to learn and follow call scripts and processes

• Full training provided on CRM usage, including:
• Client status updates
• Notes and follow-ups
• Bookings and diary management

Role Details
• Pay: AUD $7–$10/hour (based on experience)
• Hours: 5–8 hours per week (may increase during busy periods)
• Schedule: Flexible, based on lead flow
• Start: ASAP
