We are seeking a detail-oriented, reliable, and proactive Virtual Assistant / Production Manager to support the production of a 9-issue magazine. This is a part-time, remote position, estimated at 8–10 hours per week, ideal for someone with strong organizational skills, professional communication experience, and the ability to manage deadlines across multiple stakeholders.
This role requires availability during Eastern Time business hours (9:00 a.m. – 5:00 p.m.) and close coordination with internal staff and an external design agency.

Key Responsibilities
• Draft and send professional
o Upcoming deadlines
o Content submissions
o Requests for additional information or revisions
• Serve as a direct point of contact for assigned contributors, including:
o Sending reminders and follow-ups to collect required content
o Proactively managing missed or at-risk deadlines
o Escalating issues internally only after multiple follow-up attempts
• Upload, organize, and track content submissions in
o Tagging internal tea
o Updating submission statuses (e.g., marking items as “Ready”)
o Notifying internal stakeholders when submissions are complete
• Maintain and monitor the magazine production schedule to ensure deadlines are met
• Communicate with internal tea
• Circulate magazine proofs to editors and track all requested edits
• Ensure edits and revisions are accurately completed and finalized

• Communicate professionally, courteously, and consistently with contributors, editors, and internal stakeholders
• Assist with additional administrative or coordination tasks as needed to support the magazine production process

Required Skills & Qualifications
• Strong working knowledge of
• Proficiency in Google Drive / Google Workspace (Docs, Sheets, Gmail)
• Excellent written communication skills and professional
• Strong attention to detail and organizational skills
• Ability to manage multiple deadlines and follow established workflows independently
• Comfortable interacting directly with contributors and internal stakeholders in a professional, timely manner
• Availability to work during Eastern Time business hours (9:00 a.m. – 5:00 p.m.)
