We are a high-volume signage and graphics company based in the US. Our projects move at "60 miles an hour," and we need a meticulous, process-driven Administrator to manage our project financials and documentation.
Role Overview
We are looking for a Construction Admin Specialist who understands the "paper trail" of a US construction project. Your goal is to ensure we get paid on time, our subcontractors are qualified, and our compliance is flawless.
Key Responsibilities
• Financial Management: Process 4–5 invoices daily, post payments, daily close, monthly reconciliation. Prepare and submit AIA G702/G703 Pay Applications for our large-scale construction projects.
• A/R Mastery: Manage assertive yet professional follow-ups on all outstanding receivables.
• Subcontractor Management: Locate and vet new subcontractors for specialized projects. You will be responsible for checking references, verifying past work quality, and ensuring they meet our standards.
• Compliance & Insurance: For the company and for our subcontractor insurance (COIs). Ensure all paperwork is renewed annually and valid before a sub hits the job site.
• Change Order Management: Ensure every change in project scope is documented and billed.
• Bid Coordination: Assist the owner in assembling professional bid packets and pre-qualification documents.
• Marketing & Outreach: Execute marketing
Qualifications
• US Construction Experience (Required): You must have a background working with US-based construction firms or trades.
• AIA Billing Knowledge: You must understand AIA billing, Lien Waivers, Retainage, and COI requirements.
• Education: A degree in Civil Engineering, Accounting, or Business is highly preferred.
• Communication: Exceptional, professional English (written and verbal) for communicating with GCs and vetting vendors.
• Availability: Must have a reliable home office setup and be able to work a full 8-hour shift during CST (USA) business hours.
