Virtual Assistant – Finance & Administration Support (Full-Time)
Remote | Australian-Based Company – Sole Podiatry & Sole Studio (Melbourne, VIC)

Sole Podiatry and Sole Studio are growing rapidly, and we’re creating a senior-level VA role to support the financial, payroll, and administrative backbone of our business.
This is not a junior admin role.
This is a finance-forward VA position where you’ll work closely with our CEO, accountants, and leadership team to keep the business running smoothly behind the scenes.
About the Role
As our Finance & Administration Support VA, you’ll be responsible for the day-to-day execution of our financial and admin operations — ensuring accuracy, compliance, and follow-through across multiple systems.
You’ll manage reconciliations, accounts receivable and payable, payroll support, reporting, and high-level admin — freeing our leadership team to focus on strategy, growth, and patient care.
This role suits someone who:
- Has real bookkeeping or accounting experience
- Is confident working in Xero (non-negotiable)
- Enjoys structure, responsibility, and being relied upon
- Loves improving systems and keeping things “under control”
Key Responsibilities
Finance, Bookkeeping & Reconciliations
- Manage accounts receivable and payable
- Reconcile income streams in Xero (Square, Cliniko, Medicare, NDIS, Support at Home)
- Ensure transactions are accurately coded using Xero and DEXT
- Monitor outstanding invoices and follow up payments professionally
- Assist with monthly and ongoing financial reporting
- Support the CEO and accountants with clean, reliable financial data
Payroll & Rostering Support
- Assist with payroll processing and payroll queries
- Ensure correct pay rates, leave balances, and allowances
- Support admin team rostering (Deputy experience is a bonus)
- Liaise with leadership regarding payroll changes or issues
HR Administration & Leave Management
- Process and track staff leave (annual, personal, parental, etc.)
- Maintain accurate employee records
- Support onboarding and offboarding admin tasks
- Ensure HR documentation is current and compliant
Compliance & Documentation
- Track professional registrations, insurance, and mandatory certifications
- Maintain compliance registers and document storage
- Proactively flag upcoming expiries
- Support audit readiness
Admin Inboxes & Policy Support
- Manage shared finance and admin inboxes
- Support the enforcement of cancellation and fee policies respectfully and professionally
- Triage enquiries and escalate only when required
What You’ll Need (Essential)
- Previous experience in bookkeeping, accounting, or finance support
- Strong Xero experience (this is a must)
- Experience with accounts receivable and payable
- Payroll experience (strongly preferred)
- Solid understanding of Australian tax and payroll requirements
- High proficiency in Google Workspace, especially Google Sheets
- Excellent attention to detail and organisational skills
- Strong written and verbal English communication
- Ability to work autonomously in a remote role
- Own computer and reliable internet
Bonus Skills (Nice to Have)
- Experience using Deputy for rostering
- Experience working with healthcare or allied health businesses
- Familiarity with Cliniko, Square, or NDIS invoicing
- Process improvement or SOP documentation experience

Set working hours with some flexibility
