We're seeking a highly organized, strategic Operations Manager to build and manage the backend systems for "The Woman Wealth Protector," a rapidly growing luxury personal brand in the wealth protection and real estate space.
This role is perfect for someone who loves creating order from chaos, thrives on systems and automation, and wants to be the backbone of a business empowering high-earning women.
You'll work directly with the founder (Alex Edwards) to transform ideas into executable strategies, manage digital product launches, streamline workflows, and ensure everything runs like a well-oiled machine. KEY RESPONSIBILITIES
1. Business Systems & Operations (40%)
Build and optimize systems for course launches, client onboarding, and product delivery
Create SOPs (Standard Operating Procedures) for all recurring tasks
Manage project timelines and ensure deadlines are met
Set up automation in
Implement and manage tools: Kajabi/Teachable, ConvertKit/ActiveCampaign, Zapier, Asana/ClickUp, Calendly, Dubsado, etc.
2. Digital Product Launch Management (30%)
Coordinate all moving parts of digital product launches (courses, masterminds, VIP days)
Manage launch timelines, deliverables, and team coordination
Set up sales funnels,
Track launch metrics and create post-launch reports
Handle customer service escalations and refund requests
3. Content & Marketing Operations (20%)
Manage content calendar across Instagram, TikTok, YouTube,
Coordinate with video creator and ensure content is scheduled on time
Set up
Organize and manage digital assets (videos, graphics, templates, documents)
Monitor social media engagement and flag important messages/comments
4. Administrative & Executive Support (10%)
Manage founder's calendar, scheduling, and meeting prep
Handle inbox management and prioritize urgent communications
Prepare agendas and take notes for tea
Research vendors, contractors, and tools as needed
Handle miscellaneous administrative tasks
? REQUIREMENTS
Must-Haves
3+ years experience in operations, project management, or executive assistance (online business experience strongly preferred)
Proven track record building systems and managing digital product launches
Tech-savvy — Comfortable learning new platforms quickly (we use: Kajabi, ConvertKit, Canva, Google Workspace, Asana, Zapier)
Exceptional organization skills — You can manage multiple projects without dropping balls
Strong written communication — You'll draft
Self-starter mentality — You see what needs to be done and do it without being asked
Availability during US business hours (at least 4-hour overlap with EST)
Nice-to-Haves
Experience with luxury or high-ticket brands
Background in online course creation, coaching, or digital products
Familiarity with wealth, finance, or real estate industries
Previous work with female entrepreneurs or women-focused brands
Knowledge of marketing automation and sales funnel strategy
Experience managing virtual teams or coordinating with contractors

Launch 1 digital product successfully (on time, under budget)
Automate 3-5 manual processes
Build content calendar system and workflow with video creator

Founder has 10+ hours/week back to focus on content and strategy
All launches run smoothly with minimal founder involvement
Team coordination is seamless (video creator, future hires)
Systems are documented and scalable
