They capture the story and value of each restoration project by detailing the precision of our process, translating the defined scope of work in a way stakeholders can easily understand, and working alongside the team to ensure the delivery of a 5-star experience. This individual has the ability to see the big picture yet still maintain a keen eye on minor details. You are both process-driven and project-focused to ensure that produced estimates and invoices are timely, accurate and defensible. Key Responsibilities:
Prepare accurate, timely, and defensible estimates and invoices that reflect the full scope of work performed
Translate field documentation, photos, notes, and reports into complete and compliant financial submissions
Ensure all estimates and invoices align with industry standards, internal pricing guidelines, and NYS regulations
Complete thorough document and scope reviews to ensure all billable items are captured before submission
Maintain proactive communication with Project Managers to clarify scope, resolve discrepancies, and prevent delays
Identify and proactively resolve potential kickbacks or objections from stakeholders
Leverage templates, tools, and pricing standards to improve speed without sacrificing accuracy or compliance
Maintain meticulous attention to detail to ensure consistency between field execution and financial documentation
Take ownership of assigned projects from draft through final approval
Desired Outcomes:
Achieve a 95% First-Pass Approval Rate on submitted invoices to the CEO
Maximize value for the scope of work performed on every project
Complete and submit estimates within 24 hours of receiving scope of work
Submit invoices within 48 hours of job completion
Ensure estimates and invoices accurately reflect site conditions, guidelines, and project requirements
Proactively resolve discrepancies before they impact approvals or cash flow
Demonstrate excellence in documentation that reflects the quality of on-site execution
Requirements:
Prior experience in estimating, invoicing, billing, or project documentation (restoration, construction, or insurance-related industries preferred)
Comfort working with estimating software, templates, and pricing tools. Proficiency with Xactimate program a major plus
Strong attention to detail with a commitment to accuracy and defensibility
Excellent written and verbal communication skills
Strong analytical, organizational, and time-management abilities
Ability to manage multiple projects and deadlines simultaneously
Familiarity with restoration scopes (water, fire, mold, and/or structural restoration preferred)
Proactive, solution-oriented mindset with strong ownership of outcomes
Ability to work independently while collaborating closely with Project Managers and Operations
