JOB OVERVIEW

Job Overview

We are looking for a highly analytical, business-minded professional to deeply understand our company end-to-end and then design a practical AI implementation strategy to improve efficiency, execution, and decision-making across the business.

This is not a typical VA role.

This role requires someone who can:

Understand a complex, multi-department business

Think strategically about systems and workflows

Research existing AI tools and automation platforms

Recommend specific tools with costs, benefits, and implementation requirements

Think like an operator, not just a researcher

Your work will directly influence how we modernize and scale the business using AI.

Scope of Work

This role has two primary phases:

Phase 1: Business Deep Dive & Understanding

You will work closely with the owner to gain a full understanding of the business, including but not limited to:

Overall business model and revenue streams

Operations and daily workflows

Marketing, sales, and customer acquisition processes

Finance, reporting, and data tracking

Team structure and communication

Bottlenecks, inefficiencies, and repeated manual work

This phase will include:

Reviewing documentation, spreadsheets, SOPs, and tools

Asking structured, intelligent questions

Mapping workflows and identifying pain points

Outcome of Phase 1:
A clear written summary of how the business operates today and where inefficiencies exist.

Phase 2: AI Strategy & Implementation Recommendations

Using your understanding of the business, you will:

Research existing AI tools and automation platforms (no custom AI development required)

Identify opportunities where AI can:

Save time

Reduce labor

Improve decision-making

Improve execution quality

Recommend tools across areas such as:

Operations

Marketing

Sales

Customer support

Reporting & analytics

Internal communication

For each recommendation, you must clearly outline:

Tool name and purpose

Monthly or annual cost

What problem it solves

Implementation difficulty (low / medium / high)

Time required to implement

Ongoing maintenance requirements

Outcome of Phase 2:
A structured, actionable AI implementation roadmap that the business can actually execute.

Required Skills & Experience

Strong business analysis and critical thinking skills

Comfortable learning and understanding complex businesses

Experience with AI tools, automation platforms, or no-code tools

Ability to research, compare, and clearly explain software tools

Strong written communication and documentation skills

Self-directed and comfortable working with minimal hand-holding

Big plus (not required):

Background in operations, consulting, systems design, or process improvement

Experience working with growing or multi-department businesses

Familiarity with tools like Zapier, Make, Notion, Airtable, CRMs, analytics platforms, etc.

What This Role Is NOT

Not data entry

Not a generic VA

Not just “finding AI tools”

Not executing the implementation (at least initially)

This is a thinking, analysis, and strategy role.
