We are a growing entertainment company seeking a highly organized Scheduler/Casting Coordinator to handle actor scheduling, bookings, talent recruitment, and detailed talent management. You’ll be the go-to person for ensuring shoots run smoothly by securing confirmations, maintaining thorough actor profiles, and always preparing contingency options.
Standard hours are 9 AM – 5 PM PST (approximately 1 AM – 9 AM Philippine Time), with occasional on-call flexibility required for urgent last-minute changes like bookings or cancellations.
Key Responsibilities:
- Masterfully schedule actors for shoot days: collect availabilities, negotiate bookings, and secure final confirmations via text, calls, and
- Proactively chase down actors to resolve scheduling conflicts and get timely responses.
- Maintain detailed, up-to-date notes on each actor in our talent pool, including suitable role types, character fits, unique strengths/skills, past performances, and any relevant notes for quick reference.
- Develop and keep ready backup plans (e.g., alternate actors or scheduling options) to handle no-shows, cancellations, or sudden changes—anticipating issues is key to success in this role.
- On lighter scheduling days, recruit and onboard new actors to expand our pool via platforms like Backstage,
- Track all communications, bookings, and talent data with strong attention to detail to avoid errors in fast-paced production environments.
- Provide on-call support outside regular hours when needed for emergencies (e.g., same-day replacements or reshuffles).
- Collaborate with the team to ensure seamless coordination for shoots.
Requirements:
- Excellent written and spoken English (fluent; we’ll evaluate during interviews via samples or calls).
- Proven experience in scheduling, appointment setting, virtual assistance, casting coordination, or similar roles—entertainment industry background is a big plus but not required if you have strong transferable skills.
- Exceptional attention to detail: you must be meticulous with notes, calendars, confirmations, and data accuracy.
- Proactive mindset with the ability to anticipate problems and prepare backup/contingency plans in advance.
- Strong organizational and multitasking skills; comfortable managing detailed actor profiles and databases.
- Comfortable making outbound calls/texts to "chase" responses and confirm details professionally.
- Reliable setup for remote work: stable internet, quiet workspace, personal phone for calls/texts, and availability for night-shift PST hours.
- Self-motivated and independent—able to work with minimal supervision.
Bonus: Familiarity with actor recruitment platforms (Backstage, social media groups) or talent database tools.
