Position: Office Administrator / Receptionist
Overview
We are seeking a professional and reliable Office Administrator/Receptionist to manage front-line communications and administrative workflows. This role is essential to ensuring smooth daily operations and excellent client communication.
Schedule
Monday–Friday, 9:00 AM to 5:00 PM (EST)
Required Skills & Qualifications
Professional receptionist experience answering business phone lines
Excellent English fluency, both written and verbal
Strong grammar, spelling, and literacy skills
Ability to understand and follow workflow processes
Proficiency with Microsoft Office (Outlook, Word, Excel)
Experience with ticketing systems (HappyFox or similar preferred)
Ability to communicate clearly, professionally, and efficiently
Strong organizational and time-management skills
Preferred (Nice to Have):
Experience with WorkflowMax
Ability to accept or process virtual payments
Responsibilities
Answer all incoming phone calls and messages as the first point of contact
Provide initial responses and route priority or critical calls to leadership
Manage and organize virtual folders for business processes
Create and send invoices to clients
Compile and organize job-related research
Follow documented procedures and training materials (provided upon hiring)
Maintain clear and professional communication with clients and internal teams
