Now Hiring: Real Estate Transaction Coordinator (TC) Assistant for TC Business
Qualifications:
Transaction Coordination Support
– Handle file intakes, entering transaction data from contract documents/intakes and ensuring files are ready for the TC to process.
– Assist with
- Assist TC on various contract-to-close processes with precision and care
- Potentially liaise with lenders, attorneys, co-op agents, and clients to ensure all milestones are progressing
- Assist in tracking dependencies, not just major deadlines
- Prepare for closings and handle post-closing wrap-up tasks
Compliance & File Management
– Conduct file audits, ensuring all required documents are received, accurate, and compliant with state real estate regulations.
– Manage compliance reviews, uploading files into broker compliance systems, verifying all key documents are complete, and working through missing signatures, initials, and forms until fully approved.
– Ensure compliance for closing files, wrapping up pending compliance items, assisting with commission disbursement, and finalizing all necessary documentation.
– Follow up with agents and vendors to ensure all required documents and signatures are completed.
Requirements
– Previous experience in real estate, compliance, or transaction coordination (2 years min).
– Familiarity with Oregon or Washington real estate contracts and required documents.
- Strong knowledge of end-to-end TC processes, including communication with lenders, attorneys/title companies, and clients - REQUIRED
- Comfortable with milestone tracking, compliance deadlines, and closing prep
- Proficient in tools like Dotloop, Skyslope, KWCommand; familiarity with Aframe is a plus
- Excellent English communication skills, both written and verbal
- Detail-oriented, proactive, and self-managed

– Strong Time Management – Ability to prioritize tasks effectively, especially when managing multiple transactions simultaneously.
– Problem-Solving Skills – A proactive approach to identifying and resolving issues.
– Communication – Clear and concise written communication for
Tools Knowledge (Preferred but Not Required)
– Google Workspace (Docs, Sheets, Calendar, etc.).
– Aframe and or other TC CRM platforms.
– Transaction management tools such as Dotloop, Skyslope, KW Command, etc

– Reliable and prompt, able to manage tasks with minimal supervision.
– Strong communication skills and a collaborative attitude.

– Self-sufficient, detail-focused, and deadline-driven.
Work Hours & Expectations
– Full-time: 40 hours per week, Monday through Friday, Pacific time*
– Must be comfortable working in a remote environment with no distractions.
– Stable internet connection with a reliable backup plan in case of outages.
– Must be self-sufficient and able to meet deadlines with minimal supervision.
