This is not a “task taker” role. We need a proactive operator who can keep systems clean, content moving, customers supported, and communication tight—without repeated follow-ups.
Core Responsibilities (Tools You’ll Use Daily):
1) Gmail + Admin Operations
• Manage inbox (labels, filters, prioritization, follow-ups)
• Draft and send professional responses using brand voice
• Track action items and ensure nothing falls through the cracks
• Calendar scheduling, confirmations, reminders, and coordination
2) Social Media Execution (IG /
• Schedule and post content consistently (feed posts, stories as needed, LinkedIn posts)
• Write/format captions (or polish provided copy), apply hashtags, tag accounts, add links
• Monitor comments/DMs and respond appropriately (or escalate)
• Maintain a simple content calendar and organize assets
3) WordPress Website Maintenance
• Basic page updates: text, images, links, formatting, blog uploads
• Troubleshoot minor issues (broken links, layout formatting, mobile display checks)
• Keep site clean, updated, and aligned with current offers
4) Shopify Support (Books/Journals + Products)
• Upload/edit products (titles, descriptions, variants, pricing, images)
• Create discount codes, update collections, basic storefront updates
• Assist with customer order questions (shipping status, product access, common issues)
5) Customer Service
• Respond to customer inquiries with professionalism and warmth
• Use templates where appropriate; escalate issues when needed
• Maintain high-quality experience and fast response times
What Success Looks Like:
• Inbox stays organized and responses are timely, clear, and on-brand
• Social media stays consistent (no missed posts, no sloppy formatting)
• WordPress site remains current, polished, and functional
• Shopify products and updates are accurate and clean
• Customers feel supported, and issues are resolved quickly
• You communicate proactively and manage priorities well
Required Skills (Non-Negotiable):
• Proven VA experience supporting businesses with Gmail + social media + customer service
• Hands-on experience with WordPress updates and Shopify product management
• Strong English communication (written and spoken)
• Detail-driven, highly organized, fast and accurate execution
• Reliable, responsive, and able to work independently
• Comfortable using Google Workspace and common social scheduling tools
Nice-to-Have (Bonus):
• Basic Canva (similar tools) skills for resizing graphics / simple edits
• Light copywriting and content calendar planning
• Familiarity with CRMs, automations, or online booking tools
