Virtual Assistant – Outreach & Connection Captain

Role Overview
The Virtual Assistant (VA) serves as the Outreach & Connection Captain for Christian Business Men’s Connection (CBMC) in Southern California. This role exists to help Christian businessmen connect, engage, and move into transformational peer experiences that grow both their faith and workplace excellence.
The VA owns the front end of CBMC outreach—captaining social media distribution, follow-up, and funnel movement—so that the Regional Leader can focus on one-to-one meetings, disciple-making, and leadership development.
The primary success metric for this role is creating 20 one-to-one meetings per month for the Regional Leader.

Core Responsibilities
1. Outreach & Engagement (Primary Focus)
• Captain LinkedIn outreach using Expandi as the primary tool
• Monitor daily responses and follow up via:
o LinkedIn messages
o
o Voice messages (as appropriate)
• Maintain timely, relational, and professional communication aligned with CBMC’s mission
• Move all responders into GoHighLevel (GHL) daily
• Assign contacts to the appropriate funnel:
o One-to-one connections
o Small group experiences
o Large group or event-based connections

2. CRM & Funnel Management
• Maintain clean, accurate records in GoHighLevel
• Tag, segment, and track prospects based on interest and engagement
• Ensure no leads fall through the cracks
• Support calendar scheduling and follow-up workflows
• Track weekly and monthly outreach activity and outcomes (Excel-based reporting)

3. Content Deployment & Creative Support
(Content is created by the CBMC Regional Leader; the VA executes and distributes)
• Create weekly devotions in Canva using leader-provided content
• Edit weekly video content created by the leader and prepare it for social distribution
• Post and schedule content across social platforms (primarily LinkedIn)
• Maintain consistent branding, formatting, and clarity

4. Newsletter & Communication
• Produce and distribute a monthly CBMC newsletter
• Monitor responses and engagement
• Route respondents into appropriate next steps and funnels

5. Events & Promotion
• Create and promote multiple monthly calendared events (virtual and in-person)
• Build event pages, graphics, and promotional messaging
• Support Zoo
• Track registrations and post-event follow-up

Time & Availability
• 40 hours per week
• Availability via WhatsApp from 6:00am–12:00pm PT, Monday–Friday
• Daily responsiveness and consistent follow-through are essential
