JOB OVERVIEW

We are seeking an experienced Booking Agent / Appointment Scheduler to manage demos and training appointments with both existing and prospective spa and medspa customers. This role requires someone who excels at appointment booking, confirmations, follow-ups, and detailed coordination—ensuring our field team arrives prepared and on time with efficient routes and complete information.

The ideal candidate is detail-oriented, organized, and proactive, with strong experience managing high-volume appointments and follow-ups.

Key Responsibilities
• Schedule demos and training appointments with existing and prospective customers
• Communicate professionally with spa and medspa clients via email, phone, and messaging
• Plan and optimize routes for tea ---------- mbers traveling to multiple locations
• Send appointment confirmations, reminders, and follow-ups
• Track appointment status and ensure attendance
• Prepare and organize appointment data and notes for tea ---------- mbers before each visit
• Update CRM records with visit notes, actions, and outcomes
• Follow up after visits to confirm next steps or additional bookings
• Ensure no appointments fall through the cracks

Required Qualifications
• Proven experience as a Booking Agent, Scheduler, or Appointment Setter
• Strong experience handling confirmations and follow-ups
• Excellent organizational and time-management skills
• Ability to plan efficient travel routes and schedules
• Strong English communication skills (written and verbal)
• High attention to detail and accuracy
• Reliable internet connection and professional home workspace

Preferred / Nice to Have
• Experience in the spa, medspa, healthcare, or beauty industry
• Experience working with CRMs (Salesforce or similar)
• Familiarity with Google Maps, route planning, and calendar tools
• Experience coordinating field teams or traveling staff
