Job Title
Scheduling & Intake Coordinator (Part-Time Virtual Assistant)
Overview
We are a U.S.-based professional training and advisory business seeking a reliable, detail-oriented Virtual Assistant to manage schedule coordination and course intake.
This role is not general VA work.
It is a focused administrative position responsible for organizing inbound training requests, protecting calendar availability, and ensuring smooth coordination across multiple clients.

Responsibilities
Primary Duties
Monitor and triage incoming
Log all new opportunities into a simple tracking system
Check availability against pre-defined scheduling rules
Propose available dates and times (never confirm without approval)
Identify scheduling conflicts or overload risks
Maintain a clean, up-to-date calendar
Prepare a weekly schedule summary for review
Protect blackout periods and priority time blocks
Secondary Duties (Limited)
Organize training confirmations and reminders
Flag urgent or high-priority requests
Maintain simple process documentation as needed
What You Will NOT Do
Negotiate rates or contracts
Make independent scheduling commitments
Handle personal or family tasks
Perform marketing, social media, or content work
Make strategic business decisions
This role follows clear rules and an approval process.
Required Skills & Experience
Prior experience with calendar management or scheduling
Strong written English communication
High attention to detail and follow-through
Comfortable working with clear procedures
Respectful, professional communication style
Ability to manage multiple requests calmly and accurately
Preferred (But Not Required)
Experience supporting consultants, trainers, or educators
Familiarity with Google Calendar and
Experience working with U.S.-based professionals
Hours & Compensation
Part-time: approximately 5 hours per week, with occasional increases up to 8 hours during busy weeks
Hourly rate: USD $6–$8/hour (based on experience)
