Key Responsibilities
Listing Coordination
Manage listing intake from agents
Create and manage listing files and documentation
Coordinate photography, staging, signage, MLS input, and marketing launch timelines
Upload and maintain listings across MLS, CRM, and marketing platforms
Track listing status updates and compliance requirements
Transaction Coordination (Contract to Close)
Open and manage transaction files
Review contracts for accuracy and missing items
Coordinate with lenders, title companies, inspectors, and agents
Track critical deadlines (inspections, contingencies, appraisals, settlement)
Prepare transaction checklists and ensure compliance documentation is complete
Send regular updates to clients and agents
Manage closing coordination and post-closing file audits
Systems & Operations Support
Maintain CRM and transaction management systems
Follow SOPs and improve workflows when needed
Keep files audit-ready and organized
Flag issues early and problem-solve proactively
Required Experience & Skills
Experience as a Real Estate Transaction Coordinator, Listing Coordinator, or Real Estate VA
Strong understanding of contract-to-close process
Experience with MLS platforms
Familiarity with CRM and transaction software (Follow Up Boss, Dotloop, Skyslope, DocuSign, or similar)
Google Workspace proficiency (Docs, Sheets, Drive)
Excellent time management
High-speed internet and professional remote work setup
