Marketing Project Coordinator (Operations Department)
(Non–Client Facing | Internal Delivery & Workflow Support)
Purpose of Role:
The Marketing Project Coordinator (MPC) supports internal project execution and operational workflows across EmpowerFi’s Production, Creative, Strategy, and Client Success teams. This role ensures projects are built correctly, scheduled appropriately, documented accurately, and moved efficiently through Wrike and related systems.
This is an internal-facing operations role responsible for delivery predictability, workflow accuracy, and data integrity across client work. The MPC works closely with Client Success (who handles client communication) and executes all required operational follow-up, scheduling, and workflow adjustments.
Key Responsibilities:
Project Workflow Execution
Build and update projects and tasks in Wrike based on Creative Brief Submissions, Client Success handoff notes and internal direction.
Ensure all project details, instructions, attachments, and assignments are complete and accurate.
Maintain project timelines and adjust schedules to support team workload and shifting priorities.
Support resource allocation by monitoring bandwidth indicators and task queues.
Internal Task Coordination
Manage the daily “hot list” of priority tasks and ensure alignment with internal teams.
Escalate risks or timeline impacts to leadership and Client Success.
Track project milestones, dependencies, and internal deadlines.
Coordinate between creative, production, and automation teams to ensure smooth execution.
Operational Data & Wrike Hygiene
Maintain accurate and up-to-date project statuses and workflows.
Audit Wrike for overdue items, missing details, or inaccurate data.
Support dashboard management and reporting for operational metrics.
Ensure meeting follow-up actions are executed in a timely manner.
Process, SOP, and Workflow Support
Assist in maintaining SOP adherence across all delivery processes.
Recommend workflow enhancements and identify inefficiencies.
Work with Automation and Operations teams to support internal automation builds.
Document operational updates, process steps, and internal notes clearly and consistently.
Collaboration
Work closely with the Operations team, Creative team, Automation team, Client Success, and Accounting.
Coordinate with Accounting to supply accurate project details for billing and forecasting.
Provide administrative and operational support during peak cycles and special initiatives.
Qualifications:
1–3 years experience in project coordination, operations, marketing production, or administrative workflow support.
Strong organizational skills with exceptional attention to detail.
Ability to manage multiple projects simultaneously in a deadline-driven environment.
Experience with project management platforms (Wrike preferred).
Excellent written communication skills (task instructions must be clear, complete, and actionable).
Comfort with data accuracy, documentation, and standardized workflows.
Ability to problem solve and flag risks proactively.
Collaborative and adaptable mindset.
Additional Preferred Qualifications:
Experience with creative production cycles or marketing operations.
Familiarity with workflow automation or system optimization.
Exposure to resource planning or task scheduling.
Experience supporting cross-functional teams.
