Role Overview:
We are seeking a highly skilled and experienced Senior Executive Assistant to support our CEO in
running and scaling a managed mobility services company. This role goes beyond traditional
administrative support; it encompasses executive support, strategic project coordination, and
operational excellence.
You will play a critical role in optimizing the CEO’s time, driving priorities forward, and ensuring that
both administrative and operational details are managed efficiently and accurately. The focus is 90%
business and 10% personal support, requiring a candidate who is organized, analytical, direct, and
proactive—someone who can anticipate needs and follow through consistently without reminders.
Key Responsibilities
Executive & Administrative Support
Own and manage the CEO’s calendar: schedule complex meetings, internal and external
calls, and ensure adequate focus/working time.
Coordinate and book travel (flights, hotels, ground transportation) with attention to detail,
and prepare related itineraries and documentation.
Handle inbox triage: flag priorities, draft responses for review, file and organize
ensure nothing critical slips through.
Prepare and send basic correspondence, including following up on allocated items with
internal tea
Support basic legal and administrative correspondence (e.g., routing documents, collecting
signatures, tracking deadlines).
Meetings & Coordination
Prepare detailed agendas, notes, and action items for key meetings, ensuring all
stakeholders are aligned.
Track follow-ups fro
Collaborate with internal tea
CEO's direction, fostering a culture of accountability.
Operations & Light Project Coordination
Lead small ad hoc projects and initiatives, conducting in-depth online research,
gathering information and organizing actionable next steps.
Help maintain and update our CRM (ConnectWise) with accurate and current information
(Training will be provided if needed.
Assist with expense reports, receipt tracking, and coordination of light bookkeeping-related tasks
tasks (e.g., collecting invoices, sharing with the accountant, tracking payments).
Manage and keep current comprehensive task lists or project tracking tools as
needed.
Personal & Home-Life Support (approx. 10% of time)
Assist with selected personal logistics such as scheduling appointments, reservations, gifts,
and occasional household/vendor coordination, where appropriate and requested.
Help ensure the CEO’s personal time is protected by managing conflicting demands and
creating breathing room in the schedule.
What Success Looks Like (First 6 Months)
The CEO’s calendar and inbox are under control, with clear priorities and minimal disruptions.
Administrative and scheduling tasks are handled independently, with minimal back-and-forth
required.
Follow-ups and commitments are consistently tracked and resolved.
The CEO can focus more on strategy, leadership, and external engagements, significantly
reducing time spent on administrative tasks.
Internal coordination (especially around projects and initiatives) feels smoother and more
predictable.
There is a growing list of tasks and processes that you own independently.
Required Skills & Experience
6+ years of experience in a Senior Executive Assistant capacity.
Prior experience supporting a founder, CEO, or senior executive in a fast-paced environment.
Demonstrated ability to manage complex calendars, scheduling, and travel coordination.
Exceptional written and spoken English communication skills—clear, concise, and direct.
Proficient with
Excel/Google Sheets proficiency (sorting, filters, basic formulas, organizing data).
Experience working remotely and supporting a team or leader in a different country/time zone,
preferably a US-based company.
Exposure to or active interest in using AI tools (e.g., for drafting, organizing, summarizing, or
research).
The ideal candidate will be adaptive and agile in their approach, demonstrating the ability to
respond effectively to changing priorities and demands in a dynamic environment.

Work Hours & Availability
This is a full-time, remote role (offshore contractor).
You must have full working hours that overlap with the CEO’s schedule (Pacific Time Zone).
Generally standard business hours, with the expectation of:
Being responsive during working hours.
Being reachable for occasional urgent issues after hours, though this is not expected to be
frequent.
