We are seeking a strong writer and organized, technically savvy professional to support proposal development and manage our government contracting opportunity pipeline.
This role combines research, technical writing, proposal coordination, and pipeline tracking. The ideal candidate is punctual, dependable, and an independent thinker who can manage multiple deadlines, anticipate next steps, and keep opportunities moving with minimal supervision.
Experience with U.S. government proposals is strongly preferred. We will consider candidates with exceptional writing, research, and coordination skills who can learn complex requirements quickly.
Key Responsibilities
Proposal Writing & Development
Research, write, and edit technical proposals, management approaches, executive summaries, capability statements, and past performance narratives.
Review solicitations and amendments to identify requirements, evaluation criteria, submission instructions, and deadlines.
Create proposal outlines, compliance checklists, and development schedules.
Interview internal staff and subject matter experts to gather accurate information.
Translate complex information into clear, persuasive content tailored to each opportunity.
Coordinate contributions from team members and follow up on missing content.
Maintain consistent formatting, tone, and structure across proposal documents.
Incorporate leadership feedback and prepare complete proposal packages for final review.
Check submission packages for accuracy, completeness, page limits, and required attachments.
Opportunity Research & Pipeline Management
Research contracting opportunities through
Screen opportunities against company capabilities, past performance, eligibility requirements, and business priorities.
Prepare concise opportunity summaries to support leadership’s bid decisions.
Maintain an accurate pipeline tracker with opportunity details, stages, owners, deadlines, next steps, and outcomes.
Monitor solicitation updates, amendments, question deadlines, and submission dates.
Flag upcoming deadlines, missing information, and opportunities requiring leadership decisions.
Track follow-up activities, award notices, and debriefing requests.
Provide regular pipeline reports and proposal status updates.
Coordination & Knowledge Management
Schedule proposal meetings, prepare agendas, take minutes, and track action items.
Maintain an organized library of reusable proposal content, resumes, certifications, and past performance records.
Coordinate document reviews and approval deadlines.
Support presentations, proposal graphics, and document layout.
Recommend improvements to proposal templates, tracking tools, and workflows.
Handle confidential company and procurement information with discretion.
Required Qualifications
Strong professional writing, editing, and research skills in English.
Experience in proposal writing, technical writing, business writing, or a related role.
Ability to interpret detailed requirements and follow submission instructions accurately.
Strong organization, attention to detail, and deadline management.
Ability to manage multiple opportunities and assignments simultaneously.
Independent judgment, resourcefulness, and consistent follow-through.
Proficiency with Microsoft Word, Excel, Outlook, PowerPoint, and Teams.
Experience using document formatting tools, shared files, and project or pipeline trackers.
Punctuality, responsiveness, and clear communication in a remote environment.
Bachelor’s degree in English, Communications, Technical Writing, Business, or a related field preferred. Equivalent experience will be considered.
Preferred Experience
Writing responses to U.S. government RFPs, RFQs, RFIs, or sources sought notices.
Using
Developing compliance matrices and coordinating proposal reviews.
Maintaining a business development pipeline or CRM.
Using SharePoint, Google Workspace, Power BI, or project management tools.
Technical Requirements
Personal laptop or desktop computer suitable for document preparation and virtual meetings.
Reliable high-speed internet connection.
Quiet, professional workspace.
Availability during U.S. Eastern Time business hours.
Work Schedule & Compensation
Schedule: Monday through Friday, 8:30 AM to 5:30 PM Eastern Time.
Additional availability: Occasional evenings or weekends during peak proposal periods, coordinated in advance.
Compensation: $4.00 to $6.00 per hour, based on experience, skill level, and performance.
