Role: Operations & Systems Lead (Right-Hand to Founder)
Part-Time (20–30 hrs/week) | Remote | Long-Term
ShelfMade is a fast-growing founder community and platform supporting food and beverage product-based business owners. We’re building infrastructure, systems, and scalable experiences—and we’re looking for a high-level Operations & Systems Lead to become the glue of the business.
This is not a task-based support role. This is a right-hand, ownership-driven position for someone who wants to deeply understand the business, proactively improve it, and help move it from founder-led manual processes to clean, automated, scalable systems.

Core Responsibilities
CRM & Automation Ownership (Go High Level)
Own and continuously improve workflows, automations, and pipelines inside Go High Level
Build, manage, and optimize
Maintain clean data: tagging, segmentation, member tracking, and lifecycle stages
Identify automation gaps and proactively recommend system improvements
Reduce manual founder involvement through smarter systems
Founder Community Operations (Circle + Backend Systems)
Own the backend flow of the Founder Circle:
Onboarding
Intake forms
Contracts
Waiting room
Group placement
Manage weekly new member onboarding and transitions
Support weekly consulting calls:
Organize replays
Manage follow-up workflows
Ensure assets and recordings are properly housed
Review call transcripts and help surface:
Follow-up actions
Homework
Systemized next steps
Ensure members are nurtured, engaged, and retained through systems, not manual effort
Strategic & Operational Support
Be embedded enough in the business to:
Spot friction points
Identify inefficiencies
Flag risks before they become problems
Bring ideas forward to improve:
Community experience
Internal operations
Scalability
Help translate founder vision into repeatable, organized systems
Additional Marketing / Growth Support (Bonus Skills)
Experience creating lead magnets on LinkedIn and/or building outbound lead generation
Experience with data scraping and research
Experience running cold
Understanding of the food and beverage founder space
Experience & Skill Set
Strong experience in Go High Level (non-negotiable)
Experience with CRM systems, automations, and lifecycle flows
Familiarity with Circle.so and/or community platforms strongly preferred
Comfortable writing and editing:
Email
SMS messaging
Internal system documentation
Highly organized, systems-minded, and detail-oriented
Confident working autonomously and making judgment calls
Not afraid to challenge ideas, suggest improvements, and think strategically
LinkedIn lead generation, data scraping, and cold
