We are seeking an experienced and dependable Virtual Operations & Order Management Assistant with strong experience to take ownership of order processing, customer communication, supplier coordination, and stock control.
This role requires someone who understands how stock moves through an e-commerce business, from supplier to warehouse to customer and who can work independently in a fast-paced environment while maintaining accuracy and professionalism.
Key Responsibilities
Order & Shopify Management
• Process, manage, and update customer orders within Shopify and warehouse system where necessary
• Create and amend orders accurately, including manual order creation where required
• Monitor order statuses and ensure timely fulfilment
• Coordinate orders between Shopify, suppliers, and the warehouse/manufacturing system
• Identify and resolve order discrepancies or fulfilment issues
Customer & Telephone Support
• Answer inbound telephone calls professionally and confidently
• Handle customer enquiries via phone and
• Provide order updates, delivery information, and issue resolution
• Escalate complex issues appropriately
Stock Control & Analysis
• Monitor stock movements across Shopify, suppliers, and warehouse systems
• Understand inbound stock, outbound orders, backorders, and stock adjustments
• Identify low-stock, out-of-stock, and overstock situations
• Maintain accurate inventory records and flag discrepancies
• Conduct stock analysis and produce clear, actionable reports
Supplier & Operations Support
• Place purchase orders with suppliers and track fulfilment
• Liaise with suppliers to confirm availability, lead times, and deliveries
• Maintain accurate operational records and documentation
• Use initiative to resolve issues without constant supervision
Key Skills & Experience (Essential)
• Proven experience in a similar Virtual Assistant, operations, or order management role
• Strong experience in order processing and inventory management
• Clear understanding of stock movements within an e-commerce business
• Telephone handling experience with customers
• C2-level English proficiency (reading, writing, and speaking)
• Comfortable working independently and unsupervised
• Strong initiative and problem solving skills
• Ability to work accurately in a fast-paced environment
• Excellent attention to detail and organisational skills
Desirable (Nice to Have)
• Experience working with UK-based businesses or customers
• Familiarity with warehouse systems
• Experience managing suppliers and logistics partners
• Background in e-commerce fulfilment or dropshipping models
