JOB OVERVIEW

Ace Chef Apparel is a fast-growing Australian hospitality uniform brand operating across Shopify, Amazon, wholesale, and direct sales.
We are seeking a senior Virtual Assistant (VA) with hands-on bookkeeping experience to manage supplier payments, BAS preparation, receipt management, and data migration from QuickBooks to Xero.

This is not a junior data-entry role. We require someone who can work independently, accurately, and confidentially.

Key Responsibilities

Manage supplier payments (prepare, schedule, and track – director approval required)

Maintain Xero accounts including:

Bank and payment gateway reconciliations

GST coding and BAS preparation

PAYG tracking

Upload, categorise, and manage receipts, invoices, and bills

Migrate historical data from QuickBooks to Xero (clean, reconciled migration)

Reconcile Shopify, Amazon, PayPal, Stripe, and direct sales

Maintain audit-ready financial records

Liaise with external accountants as required

Produce weekly financial summaries for management

Required Experience (Non-Negotiable)

Minimum 3+ years bookkeeping experience

Strong, practical experience using Xero

Proven QuickBooks ? Xero migration experience

Solid understanding of Australian GST & BAS

Experience with eCommerce businesses

High attention to detail and confidentiality

Stable internet, quiet workspace, and availability during AEST overlap

Preferred / Bonus Skills

Experience with Shopify, Amazon Seller Central

Familiarity with A2X or clearing accounts

Inventory-based business experience

Prior work with Australian clients
