Role Overview
We are seeking a dedicated and detail-oriented Telehealth Representative to join our remote team. In this pivotal role, you will be the bridge between patients and practitioners—ensuring consultations run smoothly, patients feel supported, and documentation is accurate.

Key Responsibilities
- Accurately prepare and maintain patient clinical documentation, medical histories, and telehealth records in EMR systems (Best Practice/Halaxy).
- Flexibly manage multiple clinic workflows at once, balancing patient communication, practitioner support, documentation, and operational tasks without compromising quality.
- Support telehealth consultations by coordinating patient flow, managing appointment reminders, and facilitating practitioner-patient communication.
- Serve as a primary point of contact for patients, addressing inquiries, providing instructions, and delivering exceptional support via phone,
- Ensure timely patient follow-ups, coordinate prescription refills, and assist with virtual patient care plans.
- Manage pharmacy coordination (scripts, stock issues, transfers) and escalate clinical or urgent medication concerns.
- Track and follow up on intake forms, consent forms, health summaries, and IHI/Medicare validation to maintain compliance.
- Assist with TGA (SAS-B) workflows, ensuring timely submissions and practitioner support.
- Handle patient complaints and escalations with empathy and professionalism, ensuring no patient goes longer than 48 hours without communication.
- Collaborate closely with Australian practitioners and internal teams to ensure seamless workflows and high standards of care.
- Uphold strict confidentiality, data security, and patient privacy in all interactions.
Requirements
- Bachelor’s degree in Nursing or equivalent healthcare field.
- Minimum 2 years of clinical experience in a hospital, clinic, or telehealth setting.
- Strong written and spoken English; excellent communication and interpersonal skills.
- Experience with digital health platforms, EMR systems, or telehealth tools (e.g., Best Practice, Halaxy, Podium, Automed).
- Demonstrated attention to detail, accuracy, and commitment to patient confidentiality.
- Proven ability to manage sensitive situations with empathy, patience, and problem-solving skills.
- Ability to multitask across varied clinical and administrative duties, supporting practitioners, patient coordination, pharmacy communication, and regulatory workflows simultaneously.
- Comfortable working independently and managing multiple tasks in a fast-paced, remote environment.
- Ability to work Australian business hours (PH day shift).
- Reliable high-speed internet and a dedicated, quiet workspace at home.
Nice to Have
- Previous telehealth, remote, or virtual admin experience for Australian, UK, or US clients.
- Familiarity with Australian healthcare processes, privacy regulations, or digital documentation standards.
- Knowledge of Australian healthcare regulatory processes, including TGA approval pathways and compliance requirements.
- Experience in pharmacy coordination, prescription support, or medication follow-ups.
- Training in mental health first aid, de-escalation, or complaint resolution.
- Background in patient education, customer service, or health coaching.
