Virtual Assistant – QuickBooks & Invoicing (U.S. Pool Company)
We are hiring a detail-oriented and reliable Virtual Assistant to manage invoicing, payment follow-ups, and system accuracy for our U.S.-based pool cleaning and renovation business, America’s Swimming Pool Company.
The goal of this role is simple. Invoices get paid on time and our systems stay accurate. If you miss details or need constant reminders, this role will not be a good fit.
This position will be responsible for creating invoices in QuickBooks Online, preparing invoices for approval before sending, applying customer payments accurately, categorizing expenses correctly, managing and tracking renovation deposits, sending past-due payment reminders independently using approved templates, and flagging any discrepancies or issues immediately.
The assistant will also keep Pool Brain fully up to date, maintain accurate customer, job, and invoice records, and ensure consistency between Pool Brain and QuickBooks.

Requirements for this role include strong QuickBooks Online experience, hands-on experience with invoicing and accounts receivable follow-ups, comfort working inside CRM or service-industry software, excellent written and spoken English, strong attention to detail, the ability to work independently without constant reminders, a reliable internet connection, and the ability to work U.S. Central Time hours.
Applicants must already know how to use QuickBooks Online, Gmail, Google Docs, Google Sheets, task management tools such as Todoist, ClickUp, or Asana, and CRM or job management software.
This is a full-time position requiring 40 hours per week with work hours aligned to U.S. Central Time.
Success in this role looks like invoices being sent on time, past-due balances being followed up consistently, payments being applied correctly, and Pool Brain and QuickBooks staying accurate and current at all times.
