Part-Time Real Estate Virtual Assistant
Work Schedule:
2 hours/day, 5 days/week (10 hrs/week)
Preferred working window: 9:00 AM – 11:00 AM Pacific (flexible, especially Wednesdays)
May increase hours later once systems are running smoothly
Pay:
$5/hr to start (with potential increase + performance bonus for strong results
About the Role
We’re a busy Orange County, CA realtor looking for a high-common-sense, organized, strong communicator who can help clean up and manage our CRM, stay on top of follow-ups, and support lead nurturing so I can focus on showings, clients, and closing more deals.
This is my first VA, so I need someone who can work independently, ask smart questions, follow instructions accurately, and help bring structure to my day.
Primary Responsibilities (Must-Haves)
1) Follow Up Boss (CRM) Support
Organize and clean CRM contacts (tags, notes, stages, categories)
Review notes/conversation history to identify next steps
Identify who needs follow-up now (hot / warm / long-term nurture)
Maintain consistent CRM hygiene (duplicate checks, missing data, etc.)
2) Lead Nurturing + Outreach (within CRM)
Send batch
Support follow-up tasks to help reach internal activity/points goals (calls/texts/emails logged properly)
Create/update follow-up plans (monthly nurtures, long-term nurtures)
3) Communication Support
Draft follow-up messages
Track replies and flag leads that need my attention
Nice-to-Haves (Helpful but not required)
Light Social Media Support
Help manage a simple posting calendar
Schedule posts and organize content (graphics not required, but nice)
Property Research Support
Help find listings/properties for clients by reviewing MLS links/search results I provide
Suggest possible listings to send clients (based on criteria)
Personal Admin Support (Occasional)
Help with simple research tasks (ex: apartment search tracking, comparing options, organizing info)
Excellent written and spoken English
Strong common sense and can think independently
Extremely organized and detail-oriented
Follows instructions exactly (no skipping steps)
Calm, reliable, and not scatterbrained
Comfortable working with a client who is busy and needs structure
Bonus if you already know Follow Up Boss (or have worked in a real estate CRM before), but coachability and organization matter most.
