Enquiries & Viewings
• Handle incoming enquiries via phone,
• Qualify applicants and match requirements to suitable properties.
• Book, confirm, and conduct property viewings.
• Ensure costs are kept to a minimum, combine viewings and fill full slots.
• Provide accurate property information and highlight key features.
• Follow up with applicants after viewings to secure offers.
• Negotiate offers between landlords and prospective tenants where required.

Referencing & Pre-Tenancy Progression
• Initiate and manage tenant referencing and Right to Rent checks, sanction checks.
• Review referencing reports and flag concerns to the Lettings Manager.
• Liaise with applicants to resolve referencing queries promptly.
• Ensure all pre-tenancy requirements are completed accurately and within timescales.

Inventory & Check-In
• Arrange inventory appointments with approved clerks.
• Coordinate check-in appointments with tenants and landlords where required.
• Ensure all documentation is issued prior to move-in.
• Support tenants through the check-in process and address initial queries.
• Confirm key release and move-in completion.

Advertising & Marketing
• Prepare property listings for advertising across property portals and company platforms.
• Write accurate and engaging property descriptions.
• Upload and manage listings, photographs, floorplans, and marketing materials.
• Monitor enquiry levels and recommend pricing or marketing changes where appropriate.
• Liaise with landlords regarding marketing performance and feedback.
• Remove or update listings once properties are let, subject to contract.

Administration & Compliance Support
• Maintain accurate applicant and property records within CRM.
• Ensure marketing and applicant data is compliant with GDPR.
• Support the wider lettings team with general administration as required.
• Deliver a consistently high standard of customer service at all times.
