I’m an educator building a global professional platform and a private member library of video content. We host bi-monthly Zoom webinars with international speakers.
I’m looking for a proactive, detail-oriented, tech-savvy Virtual Assistant skilled in webinar video editing, library publishing,
Top priorities for this role:
A) Webinar editing + storage/publishing (most important)

Speaker - assistance with writing
Lower priority (but makes your application stand out):
Community support (future expansion; not required)
We have not yet launched the community feature, and it is not a requirement for this job. The role can expand over time if it’s a great fit.
Hours & Schedule
Part-time: 5 hours/week to start (may increase if it’s a great fit)
Flexible schedule, but you must be responsive and able to support deadlines around webinar weeks; some overlap with U.S. Central time is helpful (not required)
Compensation

Core Responsibilities (ranked by priority)
A) Webinar editing + private library publishing (MOST IMPORTANT)
For each webinar recording (past + future), you will:
Edit Zoom recordings into a clean, professional long-form version (tighten flow, remove dead time)
Add subtitles/captions
Create short-form cutdowns (30–90 seconds; a few highlight clips per webinar)
Create cover images/thumbnails in Canva using my template (consistent branding)
Upload the long-form webinar to a private library with polished titles + descriptions
Prepare short-form clips + images for me to post to directed platforms
Deliver organized folders, clear file naming, and optional draft captions
B)
Draft Zoom registration setup details and support the workflow
Draft webinar invitation
Keep messaging polished, professional, and consistent (templates provided; you improve/execute)
Bonus Responsibilities (not required, but makes you stand out)
C) Speaker communication + coordination (Bonus)
Coordinate date and time with speakers and confirm scheduling
Send professional reminders and manage logistics
Collect speaker materials and final details:
bio, headshot, talk title, and final session details
Coordinate scheduling changes smoothly and maintain a simple tracking system
D) Community support (Future expansion; NOT required)
We have not yet launched the community feature. If/when it launches:
Phase 1 (initial):
Post videos and related assets into the Circle community software.
Phase 2 (optional, later — based on your comfort):
Onboarding new members
Member support and basic help-desk style responses
Screening/routing inquiries appropriately
Community support is not required for this role today. It can be added later if it’s a good fit.
Required Skills
1. Excellent English proficiency (written + spoken) — professional, clear, confident
2. Strong organization + reliability (you don’t drop tasks; you track details)
3. Video editing skills (webinars + short-form clips)
4. Caption/subtitle workflow experience (accuracy matters)
5. Familiarity with Zoom (webinar workflows) and Flodesk
6. Comfortable with modern digital tools:
Canva
ChatGPT
Familiarity with newer tools/apps (e.g., NanoBanana and similar)
Nice to Have
1. Experience with webinar speaker coordination
2. Community platforms (Circle, Mighty Networks, Kajabi, etc.)
3. Notion/Airtable/Google Sheets for tracking workflows
4. Experience supporting webinars/events for professional audiences
How Success Will Be Measured
1. Clean, consistent library uploads (titles/descriptions organized)
2. Short-form clips that are tight, high-signal, and usable immediately
3. Accurate captions/subtitles
4. Flodesk
5. Deadlines met with minimal follow-up fro
