We are a growing US-based Residential HVAC Service & Replacement company looking for a reliable QuickBooks Online Bookkeeper to help clean up historical records and handle ongoing bookkeeping and payroll tasks.
This is a hands-on execution role focused on accuracy, reconciliation, and consistency. We are not looking for a CFO, Controller, or finance strategist. We need someone who can keep the books clean, current, and well-documented.
Responsibilities
• Clean up and reconcile historical QuickBooks Online data
• Perform monthly bank and credit card reconciliations
• Maintain accurate categorization and supporting documentation
• Process payroll and ensure payroll entries are recorded correctly in QuickBooks
• Assist with commission-related payroll entries and tracking
• Flag, document, and escalate discrepancies or missing information (no guessing)
Requirements
• Strong experience with QuickBooks Online
• Prior experience with historical cleanup or catch-up bookkeeping
• Experience processing payroll for US-based companies
• Solid reconciliation skills (bank, credit card, payroll accounts)
• High attention to detail and ability to follow instructions precisely
Preferred Experience
• HVAC, construction, or service-based businesses
• Familiarity with job-based workflows or ServiceTitan (a plus, not required)
Certifications (Preferred, Not Required):
• QuickBooks Online ProAdvisor Certification
• Payroll system experience (Gusto, ADP, Paychex)
