Job Description: Accounting and Operations Coordinator
Role Overview Qbeescloset is seeking a detail-oriented, high-energy resource to join our team full-time. This role is the backbone of our sales tracking and financial reporting, ensuring that every item sold—whether live, in-store, or online—is accounted for and every payment plan is managed to completion.
Key Responsibilities
Financial Tracking: Log, track, and report on all client payment plans; ensure timely follow-ups and collections.
Inventory Management: Create and maintain robust Excel databases for inventory across all sales channels.
Sales Reconciliation: Daily reconciliation of client receipts against payments received and vendor payouts.
Reporting: Prepare comprehensive Month-to-Date (MTD), Year-to-Date (YTD), and ad-hoc reports to provide insights into business performance.
Process Documentation: Audit and document standard operating procedures (SOPs) for all financial, operations and inventory workflows.
Live Show Support: Provide real-time support during live sales events to capture and DM winners, ensure file integrity, inventory accuracy and immediate payment logging.
Qualifications
Experience: 3+ years in accounting, bookkeeping, or financial operations.
Tech Savvy: Google Sheets with *advanced* Excel skills (VLOOKUP, Pivot Tables, Macros) are a non-negotiable requirement. Creating complex files for managing vendor sales and tracking
Communication: Excellent presentation skills with the ability to "tell the story" behind the numbers.
Flexibility: While hours are flexible to reach a 40-hour week, must be available to support live shows as scheduled. Live shows can start as late as 6PM EST.
Dispute Resolution: Handling "failed payments" or chargebacks from online sales.
Audit Trail: Implementing a system to track returns and exchanges, which can wreak havoc on inventory if not logged properly.
Software Proficiency: Experience with tools like Shopify, QuickBooks, Odoo etc.
Forecasting: Cashflow analysis and inventory management.
