About Us:
We operate a fast-growing real estate and short-term rental (Airbnb) management company managing multiple high-end properties across North America. Our business is systems-driven, detail-oriented, and focused on delivering excellent guest and client experiences.
We are looking for a highly organized, reliable, and proactive Virtual Assistant who can help manage administrative tasks, follow-ups, coordination, and outreach — and who takes ownership of their work.
Role Overview
This role is ideal for someone who:
Loves organization, checklists, and structure (can create and implement systems)
Is confident communicating via
Follows up without being asked
Can handle multiple tasks without things slipping through the cracks
You will work closely with the owner and operations team to keep things running smoothly behind the scenes.
Key Responsibilities
Administrative & Operations Support
Track tasks, deadlines, and follow-ups
Maintain organized Google Sheets and documentation
Use AI to create Automations and Streamline Operations
Assist with STR licensing, renewals, and compliance tracking
Coordinate with cleaners, vendors, and internal tea
Communication & Outreach
Follow up with clients, vendors, municipalities, and partners
Send professional
Pre-qualify inquiries and organize information before escalation
Escalate issues clearly and with context (not panic)
Process & Quality Control
Follow SOPs and checklists precisely
Catch mistakes before they become problems
Document processes and improvements
Flag issues early instead of waiting

Comfortable working independently and taking ownership

Experience with Airbnb, short-term rentals, or real estate
Great problem solving skills
Experience using tools like Google Sheets, Slack, Canva or task trackers
Previous VA, EA or operations experience
Familiarity with compliance or admin-heavy roles
