We are a U.S.-based wedding and event planning company seeking a hands-on, proactive Virtual Assistant to support client communication, wedding timelines, and vendor coordination. This role is ideal for someone who understands wedding planning workflows and can confidently manage systems and details with minimal supervision.

Key Responsibilities
???? Client & Vendor Communication
• Monitor inbox daily
• Respond to routine client and vendor
• Follow up when responses are overdue
• Flag urgent or sensitive messages for review
• Maintain organized communication by event
???? Wedding Timelines & Checklists
• Create, update, and manage wedding timelines using our templates
• Maintain detailed planning checklists
• Track deadlines, missing information, and outstanding items
• Prepare timelines for final approval before distribution
???? Vendor Follow-Ups
• Follow up with vendors regarding:
• COIs
• contracts
• invoices
• arrival times
• Track responses and next steps
• Escalate issues as deadlines approach
???? Design & Planning Systems
• Create and edit documents and visuals in Canva
• Manage client workflows and communication in HoneyBook
• Work within wedding planning systems and tools, including Prism
• Maintain organized digital files and project systems

Required Qualifications (Please Read Carefully)
• Excellent written English
• Proficiency in Canva
• Experience using HoneyBook
• Familiarity with wedding planning systems and workflows
• Experience working with Prism or similar event design software
• Extremely organized and detail-oriented
• Able to manage multiple weddings simultaneously
• Proactive and professional communicator
